Fixed assets > Processes > Utilities > Tracking synchronization

The processing performed by this utility only applies to assets inconsistent with the depreciation modes used in the various trackings. It can be one of the following inconsistencies:

  • The theoretical mode (DPMT) is blank or has the value: SA, AND the real mode (DPM) a value different from SA.
  • The initial mode (DPMI) is blank or has the value: SA, AND the theoretical mode (DPMT) a value different from SA.

This processing applies to values linked to the depreciation calculation:

  • The calculation of the actual values, based on the revaluated balance sheet value.
  • The calculation of the theoretical values, based on the revaluated balance sheet value and taking into account the potential revaluations but not the impairment losses.
  • The calculation of the initial values, based on the initial balance sheet value.

This function was designed for two purposes:

  • adjusting, as precisely as possible, the theoretical and initial trackings with regard to the real tracking,
  • reporting situations of inconsistency in the tracking when the inconsistency cannot be corrected automatically.

Depending on the impairment loss and on the revaluation, the asset trackings should be the following:

  • An asset that has not been revaluated and never impaired must have initial and theoretical trackings equal to the real tracking.
  • An asset that has never been impaired must have a theoretical tracking equal to the real tracking.

When those rules are not followed, the utility will adjust the trackings automatically. The adjustment of values only applies to the current period. It is then considered that the asset must be recalculated for the context of the plan(s) concerned.

  • An asset that has been impaired but not revaluated must have equal initial and theoretical trackings.

When this rule is not followed, no automatic adjustment of trackings can be carried out using this utility. However, this utility makes is possible to report the inconsistency in an error message displayed in the log file of the processing.

..\FCT\SEEWARNING Except when it is carried out in simulation, this processing cannot be reversed. To launch this processing, you must confirm that you have made a backup.

Presentation

The processing can be carried out for a company or a group of companies.
Upon selection, it can apply to one or several depreciation plans of the selected depreciation context.

Before using the real mode, the processing can be launched in simulation.
When launched in real mode, the processing updates the following fields by automatically adjusting them to the values of the real tracking:

For the theoretical tracking:

  • PERREFCLCT
  • DPMT
  • EXECLOCUMT
  • ENDDPET
  • PERCLOCUMT
  • DPET
  • EXCCUMT
  • EXCDPRT
  • PERCLOEXCT
  • PEREXCDPRT
  • NBVT

For the initial tracking:

  • PERREFCLCI
  • DPMI
  • EXECLOCUMI
  • ENDDPEI
  • PERCLOCUMI
  • DPEI
  • EXCCUMI
  • EXCDPRI
  • PERCLOEXCI
  • PEREXCDPRI
  • NBVI

Fields

The following fields are present on this tab :

Block number 4

  • Simulation (field FLGSIM)

This check box is selected by default and runs the closing in simulation mode. In this case, controls and the process are carried out but there are no updates recorded in the database.

Clear this check box to run in actual mode. In this case, you cannot reverse the closing and updates are recorded in the database. If you are using intermediate commits, it is recommended that the NIVTRACE – Log file level parameter (AAS chapter, MIS group) value is 0.

Context

  • All companies (field CPYTOUS)

Select the All companies check box to include all companies or leave this check box unselected and enter a specific company in the Company field.

This field makes it possible to indicate the code of the company to be processed. It can only be accessed when the All companiesbox is not checked.

  • Context (field CNX)

Enter the depreciation context.

Grid Plan

  • Depreciation plan (field PLNCAA)

This table contains the plan(s) linked to the context of the selected company.
When all the companies are selected, then all the plans present in the selected context will be displayed.

  • Update (field MAJ)

Check this box to select a plan.
The menu Field actions > All is used to mass select all plans.

Confirmations

  • Backup completed (field SAUVE)

This checkbox must be activated so that the synchronization processing can be launched.

SEEWARNING Once the values have been updated, it cannot be canceled.By checking this box, the user confirms that he/she effectively saved his/her data before launching the processing.
