This function has two distinct sections:
The contracts to renew.
This tag contains the list of all the contracts close to their due date and which are not with tacit renewal.
For each of them, the person in charge of contracts management has to check if a customer agreement has been reached for the renewal. Indeed, the latter has a Crystal Report which is used to send renewal quotes a few months before the end of the contracts.
Thus, when a contract appears in this tab, it is highly possible that the manager be able to determine whether the customer has renewed its contract and on the basis of which negotiation or if the customer has explicitly expressed his/her refusal.
This function is either used to:
Permanently terminate contracts.
Renew the contracts which negotiation has ended positively.
Terminate a contract.
A "Detail" contextual menu is used to access the contract record. To terminate a contract, it is only necessary to tick the "Terminated contract" box.
Contract renewal.
If a contract is subjected to a renewal order, a "Renew the contract" contextual menu is used to help the user when entering the fields necessary to renew it.
The user can then enter:
The new contract duration.
The new contract start date.
The new annual taxable base coming from the negotiation.
A "Current date" button is used to automatically enter the start and end dates of the contract on the basis of the new duration and the renewal date.
A "Renew" button triggers the contract renewal. All the fields of the contract concerned are automatically updated. A history is also added in the grid displaying the successive renewals of the contract.
The renewed contracts.
This tab contains the list of all the contracts with tacit renewal close to their due dates and which have been subjected to an automatic renewal when charging the function.
Warning: To keep the validity of the contracts in tacit renewal, it is necessary to launch this function periodically.
It is advised to check the contents of this list carefully. Indeed, it is the only way to correct potential "errors" in the automatic renewal.
For example, a customer has sent a termination letter for a contract in tacit renewal. If the termination has not been recorded in the contract concerned, the renewal function will keep this contract active endlessly. The manual check is then used to correct and interrupt the renewal process.
