When a physical person requests the right to access their personal data, or wants their data to be updated, you first need to determine if this person is linked to a record in the ERP database.

This record can be a:

  • Customer record
  • Supplier record
  • Contact record
  • User record
  • Employee record...

The data provided by this person does not usually include the record key: you need to use the appropriate search tools (query tool, report with selection criteria, etc.) based on the data the user provides in their request.

This data may include the following:

  • Email address
  • Last name
  • First name
  • Phone number
  • Order number...

Once the search has recovered the main key(s) of the relevant common records, you can use this function to search, in all the movement tables, for records which reference tables linked to a given code.

You can thus determine:

  • If the common record can be purged or not (based on legal data retention rules)
  • Or which records will need to be modified and rendered anonymous.

The results of the search are grouped by type and by table. They can be detailed using a button available on each line.

If, for example, the table of sales orders (SORDER) is displayed in the results, you can click once on this button and view all the order numbers. The export directly provides all the details.
