This function is used to manually balance an X3 bank account against a bank statement at the end of each banking period. The function displays unreconciled activity up to the statement date. A new reconciliation can be created by clicking on the new button.  Review or modify an existing reconciliation, by selecting the reconciliation from the statement number field.

Use this task to balance a bank account against a bank statement. The software displays activity by bank statement to enable quick and easy reconciliation. You can confirm transactions as cleared, both individually and by entire ranges using the mark button.  The software recalculates the totals that appear at the top of the window as you select or deselect transactions.  While reconciling your bank accounts, there may be occasions in which you need to add transactions that were found on the bank statement but not previously entered into the system (for example, NSF charges, bank fees, etc.). You can click Adjustment to enter the missing transaction information. After you have entered the transactions, they are automatically selected for reconciliation on the Reconcile Bank Statements window.

Fields

The following fields are present on this tab :

Selection

Code identifying the bank account for which the postings must be reconciled with the lines of the paper bank statement. By default, the bank code attached to the user profile is displayed. For information, the bank balance and currency are recalled.

This field displays the general ledger account associated with the bank account.

This field displays the BP Code, which is mandatory when one of the journals is associated with a collective account. The BP code must be a miscellaneous BP and is considered as a subdivision of the bank account.

For example, this setup makes it possible to follow the entries and avoid duplicating bank accounts in Financials.

Currency in which the bank account is kept.

The currency of the ledger.

  • Statement date (field BNKDAT)

End date of the bank statement. This date defines the accounting balance as well as the transactions to be displayed in the bank reconciliation grid.

Totals

  • Ending statement balance (field ENDSTMT)

Enter the ending statement balance from the bank statement received from your bank.

  • + Outstanding deposits (field OUTDEP)

Displays the amount of all unmarked deposits dated on, or before the statement date that are displayed in the grid and have not been selected as reconciled.

  • Cleared deposits (field DEBREC)

Displays the amount of deposits that are marked as reconciled for this statement, and any adjustments entered. The cleared total changes as you select or deselect transactions.

  • - Outstanding withdrawals (field OUTWTH)

Displays the amount of all unmarked withdrawals dated on, or before the statement date that are displayed in the grid and have not been selected as reconciled.

  • Cleared withdrawals (field CRDREC)

Displays the amount of Cleared withdrawals for this bank statement as well as the adjustments entered. The cleared total changes depending on the selection or deselection of transactions.

  • Adjusted balance (field ADJBAL)

This field is the result of the calculation of the ending statement balance + outstanding deposits - outstanding withdrawals.

  • Book balance (field BLC)

Displays the amount calculated by the system, which is the sum of the transactions on, or before the statement date. The amount represents the current book balance as of the statement date. 

  • Variance (field STMTVAR)

This field is calculated as the Adjusted balance minus the Book balance. A variance could be the result of reconciling the wrong transactions, too many transactions, too few transactions, entering the wrong ending statement amount, or closing a previous reconciliation that is out of balance.

Reconciliation

  • Statement number (field RBKNUM)

The document number for this bank reconcilation.  This number is automatically generated.  If the bank statement is saved, it can also be selected here.

  • Description (field RBKDES)

You can enter a description for this bank reconciliation.

  • Status (field STAFLG)

Bank reconciliation status.

  • Not open: No bank statement entered or created.
  • Open: Bank statement created but not completed (possible to modify).
  • Closed: Bank statement locked.
  • Mark (field MRKCHRS)

When entering a new reconcilation, a code can optionally be entered to be stored as the mark character.

Grid Details

  • Mark (field MRK)

Select this checkbox to mark a line as cleared.

  • Date (field ACCDAT)

This date represents the accounting date of the original transaction.
The accounting date makes it possible to determine the posting period of the accounting entries. It is initialized by default to the current date and it can be changed depending on the value of the PIHACCDAT - Accounting date modification parameter (ACH chapter, INV group).
This date is systematically controlled in order to verify that it belongs to an open and existing fiscal year.
If a problem occurs during the control, the user will need to enter a new date, irrespective of the parameter value.

  • Deposits (field AMTBNQD)

Displays the collected amount for the selected transaction.

  • Withdrawals (field AMTBNQ)

Displays the amount of the withdrawal for the selected transaction.

 

  • Description (field DES)

This field is used to link a description to its record. This description can be printed on the records, displayed when the record code is entered in a screen, or used on selection.
The title, used by default in the reports and entry masks is replaced by the short title when it is required by display and print constraints.

By default the short title, the long title or the column header of a data are recorded (on creation/update) in the connection language of the user.
You can add your translation in another language using the Translation function:

  • Click Translation from the Actions icon in the corresponding field.
  • In the Translation window, add a new language code with the translation in this language.

A user who logs on with this language will view the short description, long description or column header in their connection language if a translation exists. Otherwise, these descriptions will be available in the folder language.

  • Reference (field REF)

Entry reference.

  • Entry number (field NUM)

Invoice number.
This number is used to identify the invoice in a unique way. It is entered upon each creation or automatically generated depending on the counter associated with the invoice type.

The Inter-banking code is used by all the banks to specify the bank operation type on the lines of the bank statements that are sent to their customers.

It is used to facilitate (sort, selection) and control the bank reconciliation between the postings in a bank account with the lines in the bank statements.

This field is initialized in the journals generated for the entered payment lines with an appropriate payment attribute.

  • field AMTLED

Amount expressed in ledger currency.

Specifies the operation-keeping currency.

Bank reconcilation adjustment code.

  • Bank date (field BANDAT)

This field is specific to the Italian law and used to specify the posting date of the operation.

  • Value date (field VALDAT)

Value date.

This button makes it possible to view the accounting document generated for the selected line.

Yes to all the rest

When faced with an entry grid with multiple choices and a Yes/No answer on each line, this function makes it possible to answer Yes to all the lines starting from the current line.

No to all the rest

When faced with an entry grid with multiple choices and a Yes/No answer on each line, this function makes it possible to answer No to all the lines starting from the current line.

Payment

This button is used to zoom in onto the selected payment.

Reports

By default, the following reports are associated with this function :

 BANREC : Bank Reconciliation Statement

This can be changed using a different setup.

Specific Buttons

Search will be done based upon entry of the status of the Bank Reconciliation Statement number.

  • Not Open – outstanding lines will load in the grid.
  • Open – The marked lines will display first, followed by the outstanding lines.
  • Closed – Only the marked lines will display.

The mark button is used to access criteria that can be used to identify several items to include in the range or to quickly find an item appearing on the bank statement. 

This button is used to launch Journal Entry for the purposes of entering adjustments.  When the adjustment is entered and saved, it is automatically selected on the bank reconciliation.

This button is used to launch payment entry. 

This button is used to set the bank reconcilation status to closed. This should be done when the bank reconciliation is completed for the statement period.

Menu Bar

Functions / Reopen

Use this option to reopen a closed bank reconciliation.  Reopening a bank reconcilation will allow additional changes to be made to the bank reconciliation.

Error messages

The only error messages are the generic ones.
