Use this function to define analytical dimension types. Dimension types are analysis codes that can be used to track costs, revenue, and quantities.

When a dimension is created automatically, the default status is Inactive. You need to update the status to Active to use this dimension code on other accounting documents.

Screen management

This function displays a header section and one section per feature of the requirement.

  • The header information displays the dimension type code and description.
  • Use the Dimension section to define management rules for this dimension type.
  • Use the Miscellaneous dimensions section to assign codes to this dimension type.

The following fields are present on this tab :

Enter or select an analytical dimension type code.

By default the short title, the long title or the column header of a data are recorded (on creation/update) in the connection language of the user.
You can add your translation in another language using the Translation function:

  • Click Translation from the Actions icon in the corresponding field.
  • In the Translation window, add a new language code with the translation in this language.

A user who logs on with this language will view the short description, long description or column header in their connection language if a translation exists. Otherwise, these descriptions will be available in the folder language.

Fields

The following fields are present on this tab :

Identification

  • Column header (field COLHEA)

Enter a column header to be used in journal or invoice entry.

If this title is modified during use, the change is updated immediately. For standard prints, the modification is only taken into account after launching the translatable texts update function (GENTXTTRA).

By default the short title, the long title or the column header of a data are recorded (on creation/update) in the connection language of the user.
You can add your translation in another language using the Translation function:

  • Click Translation from the Actions icon in the corresponding field.
  • In the Translation window, add a new language code with the translation in this language.

A user who logs on with this language will view the short description, long description or column header in their connection language if a translation exists. Otherwise, these descriptions will be available in the folder language.

This access code makes it possible to prohibit access to the current record for some users.

If the field is populated, only users that have this access code with read access rights (and write access rights respectively) can view (or with write access rights, modify) the record.

Management

  • Dimension format (field CCEFMT)

Use this field to define the format of the analytical dimension codes. Analytical dimension codes can have a maximum of 15 characters. Add the suffix 'c' if the format can be alphanumeric or '#' if the format must be numeric. For example, '15c'.

The limit of 15 characters concerns the database. Note, however, that relative limits for printouts are given for the number of centimeters, not characters. Some reports cannot display 15 characters (the font, the characters and the printer, for example, can determine the available space).

Options 'ABCLabX#' can be used in this field. For further information see Entry options.

Flags

  • Automatic creation (field CREAUT)

Select this check box to create a dimension when automatic journals are generated or when documents (journal entries only) are imported using an import template based on the GASIMPORT process.

If this check box is selected and the dimension allocated by the automatic journals or the import process does not exist, it is created automatically. The new dimension can be identified by its title, which includes the number of the source recording delineated with 3 Xs:

For example: XXX FC FAC-ASN0101-005 XXX

You must review the new dimension record to validate or modify the default values created.

This check box does not apply to the Operating Budgets module.

When a dimension is created automatically, the default status is Inactive. You need to update the status to Active to use this dimension code on other accounting documents.

  • No carryforward (field PRJMGT)

Use this check box to manage and determine the default value of the Carry forward field defined at the dimension code level.

Select this check box if the Carry forward field on the dimensions attached to this analytical dimension type cannot be selected or edited.

Leave this check box clear if the Carry forward field on the dimensions attached to this analytical dimension type must be available for entry.

When the fiscal year end process is run, if the Carry forward field is selected on a dimension code, the balance for the dimension code is carried forward for the accounts for entries from this dimension as long as these accounts are also linked to an account class where Carry forward is selected. All the entries from a dimension can be carried forward from one fiscal year to the next.

  • Change final entries (field FLGMODACE)

Select this check box if the entries with a final status must be modified on journal entry. Only the dimension code can be modified.

Processing modified final entries is determined by the CNTANA - Analytical control parameter value (CPT chapter, AUZ group).

  • Entity (field ENT)

Select this check box if this dimension type is an Entity, which means it is dedicated to the Operating Budgets module. Implementing this module implies that the budget codes being used are set up.

This function is common to the operating budgets and the analytical budgets. It is used to assign the created budget type to the operating budgets and to assign the analytical dimension types to the created budget type. Entities and Budget envelopes combine to the budget chart of accounts.

You must select this check box to create an Entity dimension type.

The general structure setup must include an account core model whose main ledger is Analyticaland which specifies the ledger being used.

In the ledger being used, the Operating Budgets accounting type must be activated, and an Entity dimension view code must be defined.

  • Envelope (field ENV)

Select this check box if this dimension type is an Envelope, which means it is dedicated to the Operating Budgets module. Implementing this module implies that the budget codes being used are set up.

This function is common to the operating budgets and the analytical budgets. It is used to assign the created budget type to the operating budgets and to assign the analytical dimension types to the created budget type. Entities and Budget envelopes combine to the budget chart of accounts.

You must select this check box to create an Envelope dimension type.

The general structure setup must include an account core model whose main ledger is Analyticaland which specifies the ledger being used.

In the ledger being used, the Operating Budgets accounting type must be activated, and an Envelope dimension view code must be defined.

  • Project management (field PJMFLG)

Select this check box if this dimension type can track Project management costs.

A dimension type can track Project management costs or project cost types. It cannot track both.

 To track Project management costs analytically at the account core model level, the following conditions must be met:

  • Project management must be tracked for a single ledger;
  • The ledger must be set to 'Analytical' (field Analytical (ANA));
  • The ledger can only contain one dimension type which is set to track Project management costs.
  • Cost type (field PCCFLG)

Select this check box if this dimension type can track project cost types. These are types of costs that can affect a project such as raw materials, labor costs, and overheads.

A dimension type can track Project management costs or project cost types. It cannot track both.

Link

Use this field to automatically create dimensions in this dimension type from an object.

SEEINFOIf required, you can only set this to the value 'BPR' (Business Partner).

  • field EXECUTE

Click this icon to access the Dimension execution window. This window provides three options:

  • Creation - Select this check box to automatically create dimensions in this dimension type from an object.
  • Deletion - Select this check box to delete all existing dimensions in this dimension type containing the same code as the original object.
  • Simulation - Select this check box to preview the proposed manipulations (creation or deletion of dimensions). This option does not update the record.

Use this section to assign analytical dimension codes to this dimension type.

The following fields are present on this tab :

Grid

  • Miscellaneous dimensions (field CCEDES)

This field is set to the following dimension values:

  • Intermediate dimension for allocation
    Leave blank or select a dimension from the list of dimensions for this dimension type.
    The selected dimension becomes a pivot dimension in the allocation structures when the dimension to be allocated for a given dimension type crosses the current dimension type. This operation is not visible to the user. The postings generated by the allocation structures can be tracked if a dimension is selected. The selected dimension will always be closed.

Type in or select an analytical dimension to assign to the displayed miscellaneous dimension.

 

Error messages

The only error messages are the generic ones.
