This screen is used to set up rules for grouping several Expenses on the same Asset, by specifying the Expense field(s), the values of which will be used to filter the list of capitalizable expenses.

These criteria are used during the Expenses capitalization which can be accessed from the Fixed asset screen:

  • Upon creating an asset via Capitalization of expenses, a comparison will be made on the value of these fields between the expense chosen as main expense and other the capitalizable expenses. Only compatible expenses, i.e those with identical values (or empty if the setup authorizes it) will be kept and will be possibly assigned to the same asset.
    For example, if the grouping rule concerns the Supplier field, only the expenses made with the same provider as the one entered on the main expense may be selected to create or enrich an asset.
     
  • When adding expenses on an existing asset, the comparison will not be made with the main expense values but with the asset ones (if these fields do exist in the FIXDASSETS asset table. If they do not, the grouping criteria will be applied to the main expense valuation).

This screen consists of:

  a header used to specify the company for which the expense grouping rule is defined, as well as the rule description. If no company is entered, the setup will be applied to all companies that do not have their own rules.

  a table listing the fields used as grouping criteria.

For each field, it is possible to specify if its value can be empty. In that case, expenses with a field value equal to the main expense field value (or, if expenses have been added to an asset, equal to the asset value) will be taken into account, as well as expenses for which the field has not been entered.

Fields

The following fields are present on this tab :

Block number 1

It is the company affected by the setup. If the company is not specified, the default setup will apply to all companies without specific setups.

  • Description (field DES)

This field is used to enter the setup description.

Grid List of values

  • Expense section (field CODZON)

This column is used to specify the dimensions that will have to contain the same values (or not to be entered) to create or enrich a fixed asset.

  • Description (field ZINTIT)

 

  • Or empty (field ORNUL)

"No" in this field means that the selected expenses and the main expense must have the same value. "Yes" means that the selected expenses must have either the same value as that of the main expense, or have an empty field.
