Use this template to import the time events of the employees. This almost corresponds to the import of minimum information for time entry. It is also used to update the time summary information.

This template is based on the files issued by the clocking in machines of the Bodet brand.

The distinction between the Tracked times (TIMEMP) table and the Time summary (TIMRECAP) table is made through the transcoding 1 table defined in the Transcribe import/export. The internal code of the two corresponding tables is associated with each external code of the file to import. If this internal code starts with TIR-, entry is performed in the TIMERCAP table; if it starts with TIP-, entry is performed in TIMEMP. For TIMRECAP, the code following the hyphen is the field code of the table to populate. For TIMEMP, this code is the code of a time event. Finally, the import file can include lines that are not to be imported, because it is not known how to process them or because the information can be retrieve from the other lines. To indicate that a line of the import file must not be processed, it is necessary to match the external code with the following internal code: /.

For example, the transcoding 1 table can contain the following lines:

All the lines of the import file with the EFFECTIF code will create a new recording in the TIMEMP table with the W event code.

All the lines of the import file with the HNUIT code will create or modify a recording in the TIMRECAP table. This recording is identified with the employee ID and the pay date that is retrieved from the date field of the import file. The number of days or hours will then be added to the HOUNGT field of this recording.

HSUP2

Every time the line code of an import file is HSUP2, nothing is done.

The controls performed concern the existence of the employee ID, the event code and of the field in the TIMRECAP table.

The mandatory fields are:

  • Employee ID
  • Event/field code
  • Start/end date
  • Number of hours or number of days

Error messages

In addition to the generic error messages, the following messages can appear during the entry :

ID number does not exist

Employee not defined in the management of employees.

Event nature does not exist

Code not defined in the event nature table. There also could be an error in the transcoding table, or the event may need to be created.

Nonexistent field: TIMRECAP x

The x field is not a field of the TIMRECAP field. The transcoding table must be corrected.
