You can modify, print or deleter an employee record. All the information relating to the employees is managed in this function (civil status, data of the contract, etc.).

Contracts are managed in the Employment contract function. Several contracts can be linked to an employee record. Only an inquiry on the current employee's contract(s) is possible on the employee record.

Fields

The following fields are present on this tab :

  • Matching tolerance (field MATTOL)

Single code identifying the matching tolerance. This code can contain up to five signs.

  • Description (field TOLDESAXX)

 

Unit of measure used during the Three-way match process. If the unit of measure of the receipt line or purchase invoice is different from the Three-way match unit, the quantity is converted before the comparison is made. If the conversion of this unit of measure does not exist in the product record or Unit conversions function, the 'Not unit conversion' message is displayed at the match status level.

Currency used for the Three-way match (reconciliation of the purchase price or the total amount).
If the receipt line currency or invoice currency is different from the Three-way match currency, the amount is converted before the comparison is made. If no currency conversion exists between the receipt/invoice currency and the Three-way match currency, the message "No currency conversion" is displayed in the match status.

Grid Permits and authorizations

An authorization is a certification which is useful or necessary for the practice of an activity. Certain safety standards require authorizations and renewals with due dates. They can be specific to a task or a place of work. Depending on the position of the employee, they may be recommended or mandatory.

  • Granting date (field HABSTR)

The date when the authorization was obtained is the date of delivery of the certification or the date of the latest renewal.

  • Place of issue (field HABPLC)

Location where the authorization was obtained.

  • Valid to (field HABEND)

The validity end date of the authorization corresponds to the date beyond which the certification is no longer valid. It may be renewed on this date.
A certification which does not require a renewal has no validity end date. For example, a first-aid certificate remains valid several years provided the certification is renewed. A category-B driver's license stays acquired.

  • To renew (field HABFLG)

This field is used to specify whether the authorization should be renewed. On creation, the field is defaulted to the value 'No'. This field and the associated renewal date are controlled when the training requests are automatically generated. They are also controlled when the authorizations are updated once an employee had a training.

The individual account associated with an ID number is used in the following three cases:

 When the payroll MO is calculated, if control accounts are set up in the payroll heading accounting interface.

 When the payment slips are validated, if control accounts are set up in the accounts associated with the payment type.

 When the profit-sharing elements are posted, if control accounts are set up in the accounts associated with the profit-sharing codes.

If this field is entered and an accounting is associated with the folder, this field must match a BP-type account.

The accounting modifier associated with an employee ID is a code referenced in the Access codes table. An employee-type accounting code, with the form xxx10, and which applies to a 64100 account, will return the 64110 account.

Use the analytical distribution keys to automatically distribute the amount of a general accounting posting line onto several analytical lines based on weighing coefficients.

The analytical distribution key contains one to ten alphanumeric characters.

Grid Bank details

Specify the payment type (Salaries, Prepayments) concerned by the information in the current line. If there is no information associated with the payment type chosen, the default payment type, set up in the payments, will be considered, per employee and payment method.

This field is used to specify the IBAN (International Account Number) of the employee's bank account. The IBAN is the international identifier of the bank account. It is calculated in the employee's bank details if the country of the RIB is entered (ISO code) and the 'IBAN management' check box is selected for this country.

Specify the bank account number of the employee. The entry format and consistency control depend on the country code previously entered. This field is used when printing employee payment slips and when generating bank transfers electronically.

This field is used to specify whether the employee is resident or non-resident. It is useful for the generation of SCT payments. This parameter is defaulted to the value 'No'.

  • The French or foreign legal persons (with the exception of diplomatic and consular representations) because of them being established in France
  • The physical persons (including foreign) having their main center of interest in France

The "non-resident" term refers to the other legal and physical persons, including those of French nationality (with the exception of civil officials), who acquire the quality of non-resident the moment they settle abroad.

  • BIC code (field BICCOD)

This field allows the BIC code (Bank Identifier Code) of the employee's bank to be entered. The BIC is the bank's international identifier. It belongs to a list which is updated regularly. It is necessary for the automated processing of transfer and deduction operations in France and abroad.

  • Bank account type (field BANACCTYP)

Use this field to mention the bank account type:

  • Check account
  • Savings account
  • Current Account (without credit card)
  • Bond account
  • Bank branch number (field BANBRCNUM)

Use this field to enter the code identifying the agency within which this bank account has been opened. It can be a local or universal agency code.

  • Account relationship (field BNKACCREL)

Use this field to mention this bank account holder. It can either be your own bank account established in your name, a joint bank account held with another person, or an account opened in the name of another person.

  • Account holder name (field BNKACCNAM)

Enter the name of the account holder. This name must be identical to the account holder name who has been registered with the bank.

Parameter definition

This field is used to enter the economic reason code to apply to the employee during the generation of the SCT transfer.
This field is not required if the employee is a resident and is paid in Euros.

In the list of economic reason codes in force for 2011, this code is E09 for the salaries and other amounts paid to the employees.
The list of economic reason codes can be updated following the evolution of the European directives and based on user requirements: this list is customizable in miscellaneous table 309.

From January 2011, the economic reason code is necessary in only a few cases:

  • For transfers with a countervalue in Euros larger than 50,000 Euros
  • With non-resident counterparts and not belonging to the SEPA area
    In this case, the threshold to enter is AMTVIR3 (parameter value of the PAY chapter, RGL group)
    If the economic reason code should not be triggered in any other case, the AMTVIR1 and AMTVIR2 thresholds must be entered with a maximum level;
  • Thresholds are read upon automatic payment proposal and they can display the economic reason code in the slip.

The economic reason code is calculated automatically in the three following cases: 

  • First case:
    • The transaction currency is the Euro.
    • The country of the target bank is in the Euro area: this information is derived from the country code of the employee's bank ID number. A check is run to confirm that the country belongs to the Euro area (box 'EU' selected).
    • The employee's account is an non-resident account (see the employee record).
    • The payment amount is larger than or equal to 50,000 Euros (amount corresponding to the AMTVIR1 parameter).
  • Second case:
    • The transaction currency is the Euro.
    • The country of the target bank is outside of the Euro area: this information is derived from the country code of the employee's bank ID number. A check is run to confirm that the country does not belong to the Euro area (box 'EU' cleared).
    • The employee's account is an non-resident account (see the employee record).
    • The payment amount is larger than or equal to 12,500 Euros (amount corresponding to the AMTVIR2 parameter).
  • Third case:
    • The transaction currency is not the Euro.
    • The employee's account is an non-resident account.
    • The payment amount is larger than or equal to 12,500 Euros (Euro countervalue) (amount corresponding to the AMTVIR3 parameter).

The economic reason code is calculated when the employee ID is entered. It is recalculated if the amount or the bank ID number are modified.

Grid List

When there are several medical examinations for an employee, select the examination you need data for or that you need to view.

Medical examinations

  • Date (field WMEDDAT)

Monitoring of the medical examinations of the employee with:

  • The examination date,
  • The examination time,
  • The name of the doctor who performed the examination,
  • The result of the examination (Able, etc.),
  • Notes by the doctor.
  • Time (field WMEDHOU)

 

The contract number of the employee corresponds to one of his contract sequence number.
To inquire the various contracts of an employee, you must select:

  • his ID number,
  • the document type requested,
  • the event date in the left-hand side of the screen.

The Tax info table contains tax records, that is to say lines containing tax data that can be used when a tax certificate for a previous tax year needs to be printed.
Each line corresponds to a tax record. A tax record is created in the following circumstances:

  • When a new contract (new contract with a new chrono contract number) is created in the Employment contract function.
  • When you use the Year end program tool, whether to create tax records only or to run the whole tax year-end program.

The data comes from the employee’s contract.

Block number 1

This field cannot be accessed. It is automatically populated with the name of the relevant employee.

  • Name (field NAM)

 

  • For the Employees function, this can be accessed if the employee has several contracts. It is initialized by means of a selection of the employee's contracts if the field is empty on entering the window.
  • For the Contracts function, this field:
      • cannot be accessed. It is initialized with the employee’s current contract chrono if the employee has only one contract.
      • Can be accessed. It is initialized with the employee’s current contract chrono if the employee has several contracts.

You can select the current employee’s contracts via the Selection icon.

Grid Contribution funds

Draw up the general or specific list of the contribution funds with which the employee is associated if they differ from those defined at a higher level (site, company, folder), and specify the related organization.

If you edit an organization for a particular employee:

  • An ‘Employee’-level record containing the organization mentioned here is created in the Assignment function
  • A line for the employee is created on the organization record in the Membership function.

Draw up the general or specific list of the contribution funds with which the employee is associated if they differ from those defined at a higher level (site, company, folder), and specify the related organization.

If you edit an organization for a particular employee:

  • An ‘Employee’-level record containing the organization mentioned here is created in the Assignment function
  • A line for the employee is created on the organization record in the Membership function.

  • Level (field LEV)

This first column, “Level”, mentions the level of definition used to assign each fund.

  • If a registration assignment of a less restrictive nature (folder, company, etc.) is modified, the level moves to the ‘Employee’ value. In this case:

Fund assignments are available from the Assignment function and data on the affiliation is available from the Affiliation function.

Use this button to run the Employee leave details inquiry for the selected employee and contract. The inquiry will use the current pay period as the default but you can change it and the other selection options before searching for the leave details.

Error messages

In addition to the generic error messages, the following messages can appear during the entry :

Employee ID sequence number not defined

The sequence number format used to automatically assign an ID number to each employee has not been defined.

Sequence number error

The sequence number used to automatically assign an ID number to each employee cannot be used for a new assignment.

Validity date required for the residency and work permits

For all employees holding a residency or work permit, it is mandatory to enter the validity end date in the fields provided for that purpose.

X is not a payroll site.

The employee's assignment site must be a payroll site.

Invalid key

The key of the entered social security number is incorrect.

No. incompatible with gender

The employee's social security number and gender are not consistent.

No. incompatible with birth year

The employee's social security number and birth year are not consistent.

No. incompatible with birth month

The employee's social security number and birth month are not consistent.

Incorrect value

This message appears on entering the benefits in kind or business expenses. Only some values are allowed and the values entered are not:

Benefits in kind: 'N' or 'L' or 'V' or 'A' (N for food, L for accommodation, V for vehicle, A for others)

Business expenses: 'F' or 'R' or 'P' or 'D' (F for lump sum, R for refund, P for payment by the employer, D for miscellaneous)

Duplicate value

This message appears on entering the benefits in kind or business expenses. Only some values are allowed and the value entered constitutes a duplicate (same value entered twice).
