A Word template document is a Word file stored in the document database (mongodb) and created by the corresponding operation (create a template) in the Word plug-in. This document can then be used by default when creating a Word document.
The Word template document record contains the following information organized by default in different sections:
DESCRIPTION | INFORMATION | RELATED TO | TAGS & TEAMS |
A code of the Word template document.
User-friendly description of the document.
When this check box is selected, only the owner can modify the template.
The user who owns the document. By default, the user who created the template.
Automatically defined based on the selected document. The value of this field is sent as content type to the browser to allow handling the document.
Displays the last date the document was uploaded.
This section is used to define additional information, especially for filtering purposes.
Text explaining the purpose of this template. A free text can be entered, and a selection icon is also available to select one of the texts already entered as a purpose.
When a word report is started on a resource by clicking the corresponding link, only templates that are assigned to the same endpoint as the resource that it belongs to will appear in the template selection dialog.
The company can only be entered if an endpoint is selected. It works as an additional filter when a resource is filtered by company.
If entered, the company will be used as a filter. Only data extracted from the corresponding company can be presented with the template. This is especially useful if different templates are associated with different companies for a given resource because they contain a company logo.
The legislation can only be entered if an endpoint is selected. It works as an additional filter when a resource is filtered by legislation.
Used to deactivate templates (if activity code is set to No), and also to identify the template as a specific one.
This information cannot be modified; it is filled by the Office plug-in when the template is created. It links the template to a representation and a facet, and acts as a filter when selecting a template at Word report execution.
This information cannot be modified and is filled by the Office plug-in when the template is created. It links the template to a local code selected by the user.
This section contains two lists used as meta data associated with the Word template.
A template document can be linked to a list of tags. The tags associated with the document will appear on the team page in a tag cloud. Clicking the tag cloud will list all documents that have been linked to the corresponding tag.
The document can be published for one or several teams. If this is done, the document will be visible as a document for the team.
