Use this function to:

  • inquire the closed or validated quotes of a specific customer (or a prospect) or of all customers and prospects,
  • target a group of quotes using the available criteria.
Using a setup, you can choose which information should be displayed on the screen.

This function only displays the quote header information but provides you with a direct access to the quote so you can view it in details.

Screen management

This screen is comprised of two parts:

  • use the first part to access the main criteria,
  • use the second part to view in a grid the quotes selected based on the criteria.

The following fields are present on this tab :

Selection

The compnay and the sales site are used to select the quotes:

When opening the function, the sales site submitted by default matches the user's default sales site. The company is deduced from the user's site. It is nevertheless possible to modify the company or the site.
It is possible to consult:

  • the quotes for all the companies: the company code and the site code are not assigned,
  • the quotes for all the sites: the company code is assigned but the code site is left blank.

The selected sites are checked depending on the authorizations granted to the user. If a site is not authorized for a particular user, the latter will not be able to view the quotes for this site.
If the inquiry is launched for all the company's sites, the user will need the authorization for all the sites. If required, they will have to specify an authorized site.

 

This field is used to enter a customer code.
The inquiry can concern:

  • a given customer: a customer code must be entered,
  • all customers: the customer code field must be left blank.

SEEINFO Upon opening this function, the customer code is not filled. When accessing this function from the customer record, the customer code will be automatically filled.

This field is used to filter information by quote type.

When the quote type is not specified, all quote types are displayed in the list of results.

SEEINFOQuote types are set up in the functionQuote types(GESTSQ).

In these two fields, you can specify the start and end ranges of the project reference.
You use these fields to filter on the documents whose reference is included within the specified range.

 

  • Start date (field QUODATDEB)

The indicated date ranges are used to filter the documents whose date is included within this interval.
They are initialized by default in the following manner:

  • The end date is initialized with the current date postponed to the last day of the month.
  • The start date is initialized with the first day of the month coming from the current date minus two months.
  • End date (field QUODATFIN)

 

Currencies

The currency of the company or the folder are automatically displayed. The company currency varies depending on the company selected for the inquiry. Based on the setup of the inquiry, three types of amounts can be expressed:

  • The amount in transaction currency. A currency column is usually added next to this amount in order to specify the currency in which this amount is expressed.
  • The amount in company currency In the column header it is mentioned that it is a company amount.
  • The amount in folder currency. In the column header it is mentioned that it is a folder amount.

 

 

Status

  • Ordered (field QUOSTAO)

Use additional criteria to target the quotes that you wish to view. There are two types:

  • The quote status.
    You can view ordered (or partly-ordered) and not ordered quotes only, or both. The system submits both statuses by default.
  • The quote validity.
    You can view valid quotes (i.e. whose deadline has not been exceeded) or non-valid quotes only (i.e. whose deadline has been exceeded), or both. The system submits the valid and non-valid quotes by default.
  • The quote approval status.
    You can view approved or not approved quotes only, or both. The system submits both statuses by default.
  • Not ordered (field QUOSTAN)

 

Validity

  • Valid (field VLYSTAO)

 

  • Not valid (field VLYSTAN)

 

Signature

  • Signed (field APPFLGO)

 

  • Not signed (field APPFLGN)

Fields

The following fields are present on this tab :

Grid

  • Quote no. (field SQHNUM)

The quote number allows the quote to be identified in a unique way. This number is automatically assigned or entered upon each creation of a quote following the counter parameterization defined for the quotes.

If the quote counter is defined with automatic allocation, the quote number field is not accessible and the counter is assigned to the quote creation. Conversely, if the quote counter is defined with manual allocation, it is possible to enter it manually. If it is not entered at the moment of creation, the system will automatically assign a quote number according to the counter.

Based on the parameterization of the quote inquiry transaction, the following information can be viewed:

  • The quote number
  • The customer code of the quote
  • The customer name
  • The sales representatives of the quote
  • The customer reference of the quote.
  • The project code associated with the quote
  • The quote completion percentage
  • The quote date
  • The quote validity date. If this date is null, the quote will always be valid.
  • The quote status (Ordered, Partly ordered, Not ordered)
  • The proforma invoice number associated with the quote
  • The tax excl. amount in the quote currency
  • The tax incl. amount in the quote currency
  • The quote currency
  • The quote price type (tax incl./tax excl.)
  • The tax incl. amount of the quote expressed in the company currency
  • The tax incl. amount of the quote expressed in the company currency
  • The tax excl. amount in the folder currency
  • The tax incl. amount in the folder currency
  • Was the quote printed?
  • The quote sales site
  • The quote shipment site
  • The quote payment terms

Specific Buttons

Use this action to access the previously-defined criteria as well as the additional criteria:

  • Quote no.: this criteria is used to define quote ranges to be viewed.

In this screen, you can also select the quote sorting order criteria. By default, these are sorted by quote number, but you can also sort them by quote date.

You can save the selection criteria under a memo code in order to recall them later on.

The STD memo code is specific since it is the one that is systematically applied upon entering the inquiry. For this memo code in particular, the date range is not kept in order to always display by default the quotes of the last two months and of the current month.

Menu Bar

Graphics / Tax excl / period

You use this graphical inquiry to view the tax excl. amounts of valued quotes by period (including the invoicing elements). The quotes are only valued if they are fully taken into consideration. The amount is broken down in the various statuses of the selected quotes (Ordered, Not Ordered, Expired)

When accessing this inquiry from the inquiry of quote lists, the selection criteria used by the calling function are retrieved. When returning from this inquiry, the date ranges are restored as they were.

Graphics / Tax excl / Rep

You us this graphical inquiry to display, for each main sales representative (the main sales representative entered in the header), the tax excl. amount of valued quotes (including the invoicing elements) over the relevant period. The quotes are only valued if they are fully taken into consideration. The amount is broken down in the various statuses of the selected quotes (Ordered, Not Ordered, Expired)

When accessing this inquiry from the inquiry of quote lists, the selection criteria used by the calling function are retrieved. When returning from this inquiry, the date ranges are restored as they were.

Graphics / Customer chart

You use this graphical inquiry to view the customer ranking in tax excl. amount for quotes recorded over the relevant period.

Graphics/Representative chart

You use this graphical inquiry to view the main sales representative ranking in tax excl. amount for quotes recorded over the relevant period.

Error messages

The only error messages are the generic ones.
