Use this inquiry to display the scheduled invoices that meet the entered selection criteria.

Screen management

This inquiry contains:

  • A header where you enter your selection criteria.
  • A table displaying your search results.

You can customize this function to your organization and processes. Use the "CSS" code in the Inquiry screens function to specify how you want the information to be entered, displayed and printed.

Presentation

Enter your main selection criteria.

You can limit your search to target scheduled invoices and filter them by invoicing status.

Click the Criteria action from the Actions panel to access additional selection criteria such as the billing plan or schedule line category.

Fields

The following fields are present on this tab :

Selection

Select the company that you want to inquire. Leave this field empty to view the scheduled invoices from all companies.

Select the site that you want to inquire. Leave this field empty to view the scheduled invoices from all the sites in the company. If no company is specified, the scheduled invoices from all companies and sites are displayed.

Define a start and end range to display only the order types included in that range.

 

  • From next invoice (field NEXINVDATD)

Define a start and end range to display only the scheduled invoices whose order number is included in that range.

  • To next invoice (field NEXINVDATF)

 

Define a start and end range to display only the scheduled invoices whose sold-to customer number is included in that range.

 

Define a start and end range to display only the scheduled invoices whose bill-to customer number is included in that range.

 

Define a start and end range to display only the scheduled invoices whose product code is included in that range.

 

  • From order no. (field SOHNUMDEB)

Define a start and end range to display only the scheduled invoices whose order number is included in that range.

  • To order no. (field SOHNUMFIN)

 

Use these fields to filter for results within a range of project codes. For a single project, enter the same project code in the From/start project and To/end project fields. The content can be one of the following:

  • A project code
  • A project code and a project budget code
  • A project code and a project task code, that is a material task code, a labor task code (sales only), or a combined (mixed) labor and material task code.

If the content of this field includes a character such as an exclamation mark "!" this field links to the structure of the project. The character is the separator between a project code and the structure, either the project cost structure or the project operational structure. For example, if a material task code is 'USA-P3' and a project code is 'USA12345678', this field displays a link to the project operational structure as 'USA12345678!USA-P3'.

To provide a quick and easy visual reference the link to the project or project structure is distinguishable by the number of separator characters used. If there is no separator, the link is made to the project. A single separator character such as an exclamation mark after the project code (the first code) indicates the link type is a task (the link is to the project operational structure). Two separators placed after the project code mean that the link corresponds to a budget code (link to the project budget structure).

 This field is populated by default with the project code if you accessed this function directly from the project. If you accessed this function from the project structure the project code and project budget/task code is displayed accordingly.

 

  • Whole project (field PJTDSPALL)

Select this check box to view all records linked to the selected projects. To only view records linked to the selected structure of the projects, leave this check box clear.

If the value of the From/To project field includes a character such as an exclamation mark "!" the search includes the structure of the project. The character is the separator between a project code and the structure, either the project cost structure or the project operational structure. For example, if a material task code is "USA-P3" and a project code is "USA12345678", this field displays a link to the project operational structure as "USA12345678!USA-P3".

Use start and end ranges to display and select only the scheduled invoices whose project milestone is included in that range.

 

Status

  • To be invoiced (field INVCNDSTAN)

Use this check box to select scheduled invoices with this status: To be invoiced.

  • Invoiced (field INVCNDSTAF)

Use this check box to select scheduled invoices with this status: Invoiced.

  • Closed (field INVCNDSTAC)

Use this check box to select scheduled invoices with this status: Closed.

  • Invoiced not posted (field INVCNDSTAP)

Use this check box to select scheduled invoices with this status: Invoiced not posted.

  • Credit memo (field CNOCND)

 

Billable

  • Yes (field TOINVFLGO)

Use this check box to select billable scheduled invoices.

  • No (field TOINVFLGN)

Use this check box to select unbillable scheduled invoices.

Presentation

The search results are sorted in ascending order:

  • Next invoice date
  • Order number
  • Order line number

Click Criteria from the Actions panel to change the sort order of the selected scheduled invoices.

This field is set to "Yes" when the scheduled invoice is billable.

A scheduled invoice becomes billable when:

  • The next invoice date has been reached, in a standard billing context (with no milestone).
  • The next invoice date has been reached and the milestone is closed, in a milestone billing context.
  • The scheduled invoice has a Validated progress status, in a progress billing context.

Action icon

Order

Click this action to directly access the Order function.

Invoice

Click Invoice from the Actions icon to view the invoice details. The transaction you select determines the way in which you enter information, and how information is displayed and printed. If only one transaction has been set up you are not offered a choice, the default entry screen is displayed.

Sales journal traceability

Click Sales journal traceability from the Actions icon to open the Journal traceability inquiry where you can view or browse through the hierarchy of documents created from this order line.

Progress billing

This action is only available on scheduled invoices linked to order lines managed in a progress billing project.

Click this action to directly access the billing plan.

Specific actions

Click this action to:

  • Enter extra selection criteria, in addition to the ones in the header. For example, to filter on the billing plan or on the schedule line category.
  • Select your display criteria, such as:
    • The Screen code: Inquiries can generally be set up and are identified by a screen code. You can use this customization, for instance, to choose what information should be displayed and in what order it should be presented in the table.
      Refer to the Inquiry screens documentation for more information.
    • The Sort order of the scheduled invoices displayed. The invoices are sorted by order number by default, but you can also sort them by category.
  • Save your selection criteria under a Memo code. The "STD" (standard) memo code is specified by default when opening the function. You can click Call memo to apply an existing memo code or click Delete memo to delete it.

Error messages

The only error messages are the generic ones.
