This functions collects and displays the values for the German Recapitulative Statement. The output of the calculated data can either be printed out or exported to the X3 ELSTER Client for online submission.

The data selection is controlled on one side by company or group of companies, on the other side by the specified start/end date for the selection. The data is extracted from the main legal ledger, which must be held in Euro.

Screen management

The calculated values from the data extraction are shown on two tabs:

  • "Result" tab: shows the resulting data grouped by EU VAT no. and turnover type.
  • "Documents" tab: for the selected line in the "Result" tab, the underlying documents are shown in this tab along with their details.

In addition, the results are shown with a traffic light status indicator. By default, an export is only possible when all entries have a green status. This behavior can be changed by setting the parameter GERRSEXTMP - Temporary journal export (chapter LOC, group GER) to YES and checking the option "Hide invalid" in the header of the screen.

Fields

The following fields are present on this tab :

Selection

Enter a company group to extract values for the group.

Enter a company.

This field displays the legislation for the selected company.

Enter a site for the selected company to limit the extraction to that site. This field is not available if you enter a company group.

  • Tax identifier (field CRN)

This field displays the tax identifier for the company or company group.

  • EU VAT no. (field GEREECNUM)

Displays the EU VAT No.:

  • In the header information, this fields relates to the legal master data of the company or group of companies, depending on the entered selection.
  • In the table, this field relates to the EU VAT No. of the BP.
  • ELMA5 ID (field GERCODELMA)

Displays the ELMA5 ID  according to the legal master data of the company or group of companies. The ELMA5 ID is provided by the German fiscal authorities and is only needed for Recapitulative Statements with more than 1000 detail lines.

  • Start date (field DATDEB)

Enter a date rate to select records within those dates. The date range can only be a calendar month, a calendar quarter, or a calendar year. Generating the statement for a calendar year is only for internal reconciliation purposes, and it is not an official declaration time range.

  • End date (field DATFIN)

Enter an end date for records to be include or the end date for the validity of an configuration entry.

This field displays the currency from main legal ledger.

  • Exclude invalid entries (field FLGVALIDON)

If activated, invalid records will be suppressed on data processing (and consequently not exported later). Only available when parameter GERRSEXTMP - Temporary journal export (chap. LOC, group GER) is active.

Fields

Grid

  • field FLG

This traffic light-like indicator displays the status of an entry:

  • Green: all necessary information available
  • Yellow: Warning, because the result contains temporary postings. No export possible
  • Red: Error, because the result contains missing information or documents with wrong status like simulated, template etc. No export possible.

A detailed information about the status of each entry is displayed in the "Result" tab in the column "Comment".

  • EU VAT no. (field GEREECNUM)

Displays the EU VAT No.:

  • In the header information, this fields relates to the legal master data of the company or group of companies, depending on the entered selection.
  • In the table, this field relates to the EU VAT No. of the BP.
  • Turnover (field AMTTRN)

Amount considered in the Recapitulative Statement.

Displays the tax code of the entry.

Displays the type of the turnover. It is determined by the matching between turnover types and tax rules defined in the Recapitulative Statement Parameter screen.

Displays the BP's country.

Fields

The following fields are present on this tab :

Grid

  • field FLG

This traffic light-like indicator displays the status of an entry:

Displays the EU VAT No.:

  • In the table, this field relates to the EU VAT No. of the BP.

This field is used to specify the contra account.
SEEINFO The counterpart of each entry line is updated upon creation. If left blank, it will be initialized upon journal posting.

  • Turnover (field AMTTRN)

Amount considered in the Recapitulative Statement.

Displays the tax code of the entry.

This column relates to the accompanying BP tax rule. The BP tax rule must have the setting EU (intra-community) tax.

This information is compulsory.

The invoice type suggested by default is linked to the SIVTYP - User invoice type parameter. You can modify it if necessary by choosing an invoice type from the list of invoice types that have been defined.
The customer invoice type:

  • is used for the Sales and BP Customer invoices;
  • identifies a category of invoice (invoice, credit memo etc.) along with a posting structure for the posting of the invoices;
  • is associated with a type of journal for which a counter (manual or automatic) is specified.
    SEEINFO Notes:
    • If no counter is specified in the journal type and no journal number is manually specified on invoice entry the program will attribute a journal number according to the counter set up in the Counter assignment table.
    • When no journal type is associated to the invoice type the journal type specified on the automatic journal is used (as well as the associated counter).

On invoice entry, only an invoice type with a legislation and company group consistent with those of the company linked to the sales site can be entered.

  • Document no. (field NUM)

Displays the document number of the underlying invoice.

  • Description (field DESVCR)

Description text of the document.

Displays the type of the turnover. It is determined by the matching between turnover types and tax rules defined in the Recapitulative Statement Parameter screen.

Displays the BP's country.

  • Comment (field COMMENT)

Displays a descriptive comment for the entry. In case of red (errors) or yellow (warnings) status, the reason is displayed in more detail.

Specific Buttons

This button is used to display the result of the data extraction as a print report.

Identification

Recapitulative statement

  • File type (field TYPFIL)

Selects the type for the export file:

  • CSV for Sage ELSTER Client: generates an export suitable for processing by the Sage X3 ELSTER Client. The Sage X3 ELSTER Client must be installed separately on the workstation where needed and allows for an electronic transmission of the declaration by "ELSTER".
  • CSV for ELSTER Online: generates an export suitable for manual uploading to the ELSTER Online webportal. Access to the webportal requires a registration and login.

  • Submission mode (field MODSUB)

This selection allows for the notice of a change of submission mode (monthly/quarterly submissions). If one entry except "no change" is choosen, a correspondent label is written in the export and transmitted to the fiscal authorities. For the legal implications of this notice please refer to your tax consultant.

Standard setting is "no change in submission mode".

  • Corrected statement (field FLGCOR)

When ticked, the export file is flagged and transmitted as a corrected statement.

This screen is used to export the result of the Recapitulative Statement's data extraction as a file suitable for online transmission with the X3 ELSTER Client.
For details about the options and settings available please refer to the field help, which can be accessed directly by clicking on the "Export"-button icon in this help file.

Two different types of export are available:

  • CSV for Sage ELSTER Client: generates an export suitable for processing by the Sage X3 ELSTER Client.
  • CSV for ELSTER Online: generates an export suitable for manual uploading to the ELSTER Online webportal.

The Sage X3 ELSTER Client is a tool for the online transmission of German Tax declarations. It must be installed separately on the workstation where needed. The file exported by this X3 function can be imported into the Sage X3 ELSTER Client for further processing.
For more detailed information please refer to the documentation provided with the setup of the Sage X3 ELSTER Client.

This button is used to save under a Memo code the current values of the screen, irrespective of the screen, with the goal of reusing the setup. The memo is linked to the user:

SEEINFO If a memo code called STD associated with the screen exists, it is loaded right upon entering the corresponding function.

For further information on the advanced use of the Memo button, refer to the documentation on the General ergonomics of the SAFE X3 software.

This button is used to load criteria and information previously defined and saved under a memo code.

This button is used to delete a Memo code previously saved.

Error messages

The only error messages are the generic ones.
