The objective of this function is the presentation on the screen of a part or all of the allocations with shortages by allocation type.

Header

Presentation

The header information is used to specify the main selection criteria for the inquiry used.

 Storage site: It is necessary to specify the storage for which the allocations with shortages are to be viewed.

* Product range: the entry of a product code or a group of products is not mandatory. It is used simply to limit the display to the Allocations for these products.

* Document type: it is possible to filter the allocations inquiry by type of allocated document (sales order, shipment, works order). Depending on whether the inquiry is called from the Sales or Production module the document type filter is preloaded and not modifiable.      

* Number of document: It is also possible to limit the Allocations display to a specific document.

 Requirement date range: It is possible to limit the Allocations displayed to those whose requirement date falls in a given period.

Selection

Enter or select the storage site where the selected product is active.

The Selection icon (magnifying glass) only suggests products that are referenced in the products-sites table.

Tab Shortages

Presentation

The columns present in this table depend on the setup of the chosen screen code.

The system displays a line for each allocated stock line if it is a detailed allocation or a line for each allocated product if it is a global allocation.

For each line the major items specified are:

* The allocated product,

* the allocation type of the shortage: i.e. as a result of a global allocation (global shortage) or a detailed allocation (detail shortage).

* The document type and the document: the document on which the allocation is attempted.

* The allocated quantity,

* The lot, sub-lot and serial number for the shortage according to the management method for the product on a line displaying a shortage on a detailed allocation,

* The allocated stock status in the case of a detailed allocation,

* The allocated stock location (and if relevant, the warehouse), in the case of a detailed allocation.

Automatic Allocation

This button is available on an allocation line with a shortage on the condition that:

* The shortage identified is the result of either a sales order or sales shipment allocation,

* The originating document provides for automatic allocation as the allocation method,

* There is available stock.

On use of this button, the system opens the automatic allocation start up window where the launch criteria are loaded with the characteristics of the selected allocation with shortage, these criteria can be modified.

The use of the OK button from within the Automatic allocation window executes the allocation process.

Allocation

This button is available on an allocation line with a shortage on the condition that:

* The selected shortage is the result of a work order allocation,

* There is available stock.

On use of this button, the system opens the WO allocation start up window where the launch criteria are loaded with the characteristics of the selected allocation with shortage, these criteria cannot be modified.

The use of the OK button from within the Automatic allocation window executes the allocation process attempting to carryout a global or detailed allocation according to the shortage type (global shortage or detail shortage).

Manual allocation

This button is available on an allocation line with a shortage on the condition that:

* There is available stock,

* The originating documents allows for a manual allocation as the allocation method if it is a document of the Sales type. For a works order, this button is always proposed.

The system then opens the manual allocation screen.

The selection of the stock lines to be allocated is made in a screen containing a grid of the stock lines to be allocated and a left list that used to select the stock lines. The grid contains the stock lines that can only be filled via the use of the left list or by an automatic proposal accessible using the following button Proposal found at the bottom of the screen. Only the quantity to be allocated in stock units and the quantity in packing units are accessible in this grid.

 : This button is used to access the additional selection criteria used to filter the stock lines in the left list. This screen contains the following information:

Origin: In this section of the screen the issue site, the product and the issue note number concerned are displayed.

Quality criteria

* Authorized sub-statuses : Specified are the A, Q, R statuses for the stock lines to be proposed in the picking left list.

* Expired lots: It will also be possible to display the expired lots in the left list. These, as with all sub-statuses not authorized by the issue rule, can only be selected by a stock administrator.

Taking into account locations

* Waiting put-away: If this criteria is activated, it will be possible to authorize the selection of goods waiting put-away (for products managed by location), that is to say those goods received to dock and not yet placed in their final storage locations. These products that have certain stock attributes that are yet to be assigned (lot, sub-lot, serial number), will be displayed in the left list, but they cannot be selected whilst their characteristics have not yet been specified. If a selection is carried out on a product in dock, the detailed allocation will be updated when putting away the product (new location, new status...).

* Sub-contractor: This criterion is only significant in the context of Production management. If this criterion is activated, it will be possible to authorize the selection of components assigned to sub-contractors (for products managed by location).

Exclusive filters : They allow the entry of additional criteria that serve to restrict the selection of stock lines. These filters can already be assigned if they have been entered on the document which is the origin of the issue note (for example the order or the shipment request at the origin of a shipment line). For products that are lot managed it will be possible to enter a lot or an expression that is used to describe a group of lots (for example: LOT*A ? all lots starting with LOT and ending with A plus one character). For all the products, it is possible to enter exclusive filters on the statuses (example: A*,Q1,Q2 all the stock lines with the status A and the stock lines with the status Q1 and Q2). Only the stock lines responding to these filters will be selected. The combination of the statuses entered must be included in the Issue rule associated with the corresponding document type. If the exclusive filters are entered for the statuses then the quality criteria on the statuses will be greyed out and will no longer be considered for the stock line filter.

Preferential filter : The preferential filter on the location can be specified.

Non available stock : Stock display: yes / no This setup is used to specify whether to display the Available stock column in the stock lines to be selected picking browser.

Menu Bar

This button is used to access to the additional selection criteria with respect to the criteria entered in the inquiry header.

Screen code: the inquiries can be set up in a general manner (for more detail, see the Inquiry screens documentation). It is possible to call upon customized inquiry screens via the screen code. This customization is used notably, to choose what information should be shown on the screen and in what order it should be positioned in the grid.

It is possible to save one or several sets of criteria by recording Memo codes that can be called later on (Call memo button) or deleted (Delete memo button).

This button is used to access the additional selection criteria with respect to the criteria entered in the inquiry header.

Shortages/global   Shortages/detail : It is possible to limit the display of the allocations with shortages by type of allocation attempted (global or detailed).

Sort: By default the inquiry is sorted by product code. It is possible to specify here whether to display the sorted allocations by requirement date.

 

Error messages

The only error messages are the generic ones.
