This function is used to enter the absences of employees over a given period, with start and end dates.
SEEWARNING There are two prerequisites before absences can be entered:

  • The employee must be activated
  • The 'Time management' box of theEmployee record must be selected.

Fields

The following fields are present on this tab :

Employee

Use this field to enter the employee's ID number.
SEEINFO It is possible to access the information of theemployee record.

  • Family name first name (field SRNNAM)

Filter

  • Request (field WRKNUM)

This menu allows absences to be filtered by request number.

  • Period from (field DATDEB)

Insert the first date of the month.

  • Period to (field DATFIN)

Enter an end date to filter the absences of a given period.

Table RFQ

  • field UID

  • Contract (field CTRNUM)

If the contract is specified, the validation of the request updates the time entry for this contract only.
When appropriate, the time entry is updated for all active contracts during the absence period of the request.

  • Start (field STRDAT)

Use this field to specify the date on which the absence period starts.

  • Afternoon (field ENDDAY)

If the absence request continues in the morning, enter Yes.
For example: Return from holiday in the afternoon of the 01/08.

  • End (field ENDDAT)

Use this field to specify the date on which the period ends.

  • Morning (field STRDAY)

If the absence request starts in the afternoon, enter Yes.
For example: A leave which starts on the afternoon of the 02/07.

In this field, specify the event linked to the employee's absence.
SEEINFO The corresponding codes are accessible via selection in the field.They are derived from thegeneral parameters, chapter PAY.

  • No. of days (field NBRDAY)

This automatic field specifies the number of days of the entered leave period.

  • Hours (field NBRHOU)

This automatic field specifies the number of hours of the entered leave period.

  • Comment (field CMT)

Use this field to enter a comment.

Select the ID number of the substitute employee.

  • Family name first name (field RPLNAM)

 

  • Leave type (field TYPPGN)

When the holiday corresponds to a leave (for example, part-time work on health grounds, paternity leave, etc. ), it is possible to specify if this leave is an initial leave or an extension.

  • Tracking (field STA)

Use this field to specify the status of the leave request ( 'Draft', 'Request', 'Accepted', 'Rejected' ).

  • Acknowledgement comment (field CMT2)

Comment of the person who authorizes the absence request.

This button is used to filter the following elements:

  • Period: it filters the absences by period, by entering the start and end date of this period
  • All events: it filters all the events
  • Event: it filters an event
  • Tracking: it filters the tracking types.

This menu is used to scroll the absences of employees by ID number.

This menu is used to scroll the absences of employees by department.

This menu is used to scroll the absences of employees by period or request.

This menu allows absences to be filtered by request number.

This menu filters the absences by period, by entering the start and end date of this period

Error messages

In addition to the generic error messages, the following messages can appear during the entry :

Period not covered upon entry

The period must be open for the site and the year. The period is open for the site and the year if the field 'Entry' in the Extraction periods function has the value 'Yes'.
