It is therefore possible to create, edit, print or delete an employee record. All the information relating to the employees is managed by this function (civil status, data of the contract, etc. ).

The contracts are managed in the Employment contract function. Several contracts can be attached to a single employee record. Only an inquiry on the current employee's contract(s) is possible in the employee record.

Employee ID

  • Employee ID (field REFNUM)

The ID number is the employee's unique identifier. It contains 1 to 15 characters.
It can be entered manually or left blank on creation. In which case it will be automatically incremented by a sequence number.

Employee's reporting site.
A site belongs to one and only one company.
A site can represent a geographic location (plant, establishment etc.) or a responsibility center.
Each user can be associated with a default site by module. Depending on the function being used, the default site is submitted automatically. It can be modified with another site which has been authorized for the user, depending on their authorizations.

The individual account associated with an ID number is used in the following three cases:

 When the payroll MO is calculated, if control accounts are set up in the payroll heading accounting interface.

 When the payment slips are validated, if control accounts are set up in the accounts associated with the payment type.

 When the profit-sharing elements are posted, if control accounts are set up in the accounts associated with the profit-sharing codes.

If this field is entered and an accounting is associated with the folder, this field must match a BP-type account.

The accounting modifier associated with an ID number is a code referenced in the accounting code table. An employee-type accounting code, with the form xxx10, and which applies to a 64100 account, will return the 64110 account.

The analytical distribution codes are used to automatically distribute the amount of a G/L posting line over several analytical lines according to weighting factors. This is performed using a single entry.

Table Bank ID number

Specify the payment type (salaries, prepayments) impacted by the information on the current line. If there is no information associated with the chosen payment type, the default payment type, set up at payment level, will be taken into account, for each employee and payment method.

Specify the beneficiary of the payments made for the employee. The initialization of his field is defaulted to the employee's name and first name. Specifying this field is mandatory. It is used in all payment functions.

Specify the paying bank country. The value is defaulted to the local country. This field determines the bank ID number entry format and the associated consistency control rules.

  • IBAN code (field IBAN)

This field is used to specify the IBAN (International Account Number) of the employee's bank account. The IBAN is the international identifier of the bank account. It is necessary for the automated processing of transfer and deduction operations in France and abroad. It is calculated in the employee's bank details if the country of the RIB is entered (ISO code) and the 'IBAN management' check box is selected for this country.

Specify the employee's bank ID number. Its entry format and consistency control depend on the country code previously entered. This field is used when printing the employees' payment slips and when generating bank transfers on magnetic support.

This field is used to specify whether the employee is resident or non-resident. It is useful for the generation of SCT payments. This parameter is defaulted to the value 'No'.

 SEEINFO The "resident" term means:

  • The French or foreign legal persons (with the exception of diplomatic and consular representations) because of them being established in France
  • The physical persons (including foreign) having their main center of interest in France

The "non-resident" term refers to the other legal and physical persons, including those of French nationality (with the exception of civil officials), who acquire the quality of non-resident the moment they settle abroad.

This field allows the BIC code (Bank Identifier Code) of the employee's bank to be entered. The BIC is the bank's international identifier. It belongs to a list which is updated regularly. It is necessary for the automated processing of transfer and deduction operations in France and abroad.

Use this field to mention the bank account type:

Use this field to enter the code identifying the agency within which this bank account has been opened. It can be a local or universal agency code.

Use this field to mention this bank account holder. It can either be your own bank account established in your name, a joint bank account held with another person, or an account opened in the name of another person.

Parameter definition

This field is used to enter the economic reason code to apply to the employee during the generation of the SCT transfer.
This field is not required if the employee is a resident and is paid in Euros.

In the list of economic reason codes in force for 2011, this code is E09 for the salaries and other amounts paid to the employees.
The list of economic reason codes can be updated following the evolution of the European directives and based on user requirements: this list is customizable in miscellaneous table 309.

From January 2011, the economic reason code is necessary in only a few cases:

  • For transfers with a countervalue in Euros larger than 50,000 Euros
  • With non-resident counterparts and not belonging to the SEPA area
    In this case, the threshold to enter is AMTVIR3 (parameter value of the PAY chapter, RGL group)
    If the economic reason code should not be triggered in any other case, the AMTVIR1 and AMTVIR2 thresholds must be entered with a maximum level;
  • Thresholds are read upon automatic payment proposal and they can display the economic reason code in the slip.

The economic reason code is calculated automatically in the three following cases: 

  • First case:
    • The transaction currency is the Euro.
    • The country of the target bank is in the Euro area: this information is derived from the country code of the employee's bank ID number. A check is run to confirm that the country belongs to the Euro area (box 'EU' selected).
    • The employee's account is an non-resident account (see the employee record).
    • The payment amount is larger than or equal to 50,000 Euros (amount corresponding to the AMTVIR1 parameter).
  • Second case:
    • The transaction currency is the Euro.
    • The country of the target bank is outside of the Euro area: this information is derived from the country code of the employee's bank ID number. A check is run to confirm that the country does not belong to the Euro area (box 'EU' cleared).
    • The employee's account is an non-resident account (see the employee record).
    • The payment amount is larger than or equal to 12,500 Euros (amount corresponding to the AMTVIR2 parameter).
  • Third case:
    • The transaction currency is not the Euro.
    • The employee's account is an non-resident account.
    • The payment amount is larger than or equal to 12,500 Euros (Euro countervalue) (amount corresponding to the AMTVIR3 parameter).

The economic reason code is calculated when the employee ID is entered. It is recalculated if the amount or the bank ID number are modified.

Employee

This field cannot be accessed and is automatically populated with the name of the impacted employee.

  • Name (field NAM)

 

  • Contract (field CTRNUM)

This field can:

  • For the Employees function: be accessed in the case of a multiple-contract employee. It is initialized by means of a selection of the employee's contracts if the field is empty on entering the window.
  • For the Contracts function:
      • this field cannot be accessed and it is initialized by the employee's current contract chrono in the case of a single-contract employee,
      • this field can be accessed and it is initialized by the employee's current contract chrono in the case of a multiple-contract employee,

A selection of the current employee's contracts is available by right-click.

Table Contribution funds

Specify the general or specific list of the contribution funds which the employee is linked to if they are different from those defined at a higher level (site, company, folder).

This first column 'Level' indicates the level of definition used to assign each fund.

Error messages

In addition to the generic error messages, the following messages can appear during the entry :

ID number sequence number not defined

The counter format allowing an ID number to be automatically assigned to each employee has not been defined.

Sequence number error

The sequence number used to automatically assign an ID number to each employee cannot be used for a new assignment.

Validity date required for the residency and work permits.

For all employees holding a residency or work permit, it is mandatory to enter the validity end date in the fields provided for that purpose.

X is not a payroll site.

The employee's assignment site must be a payroll site.

Invalid key

The key to the entered social security number is incorrect.

No. incompatible with the gender

The employee's social security number and gender are not consistent.

No. incompatible with the year of birth

The employee's social security number and year of birth are not consistent.

No. incompatible with month of birth

The employee's social security number and month of birth are not consistent.

Incorrect value

This message appears on entering the benefits in kind or professional expenses. Only some values are allowed and the values entered are not:

Benefits in kind: "N" or "L" or "V" or "A" (N for food, L for accommodation, V for car, A for others)

Professional expenses: "F" or "R" or "P" or "D" (F for lump sum, R for refund, P for payment by the employer, D for miscellaneous)

Duplicate value

This message appears on entering the benefits in kind or professional expenses. Only some values are allowed and the value entered constitutes a duplicate (same value entered twice).
