Stock > Stock counts > Generation of stock counts

An inventory campaign (or cycle counting) is an entity that represents a period set in time by a start date and an end date and during which minimum inventory objectives are determined in terms of stock count numbers.

These objectives are determined by product by means of the inventory class.

This function is used to run an stock count request by selecting a number of products to be counted by class.

Campaign
The number, reference and dates of the campaign are displayed.

Stock counts

  • Simulation: the requested generation applies to a stock count simulation or creation.
  • Key in serial no: indicates for the products managed in serial numbers whether the serial numbers of each managed PKU must be entered in Warehousing.
  • Pending inventory: indicates whether the products pending with input or output must be taken into account in the inventory (or ignored if check box not selected).
  • Max no. of locations: if different from 0, this value indicates if the system must cut the stock counts using the number of locations criteria.
If so, the system creates, when possible, stock counts with the number of records equal to the number of locations, with the restriction that a product cannot be placed on several stock counts.
  • Max no. of items: if different from 0, this value indicates if the system must split the stock counts using the number of products criteria.

The two parameters 'Max no. of locations' and 'Max no. of items' can be combined.

Fields

The following fields are present on this tab :

Campaign

  • Reference (field REF)

  • Start date (field STRDAT)

  • End date (field ENDDAT)

Stock counts

  • Simulation (field SIM)

Used to move from the actual mode (by default) to the simulation mode, where all the data are deleted further to the processing.

  • Max No. of locations (field MAXSLO)

If entered, this limits the number of locations by generated inventory.

  • Key in serial no (field SRNMGT)

If checked, for all the products managed with serial numbers, said serial numbers will have to be entered during stock counts and the reconciliations will take the serial number into account.

  • Max No. of items (field MAXITM)

If entered, this limits the number of products by generated inventory (based on the number selected by class).

  • Pending ctock count (field PDG)

If it is checked, upon creation of the inventory by products or addresses, the entities will be used only if they do not have any pending movements.

If it is not checked, the system takes into account the selected products/locations with or without pending movements.

Tab Progress

Presentation

The Progress tab is a dashboard of the products to be counted in the campaign, sorted and grouped according to their inventory class.

Products without inventory class are grouped in the first line and cannot be selected.

The classes are defined by:

  • Frequency: Number of times when the class must be counted in the campaign
  • Products: Number of products belonging to the class
  • Addresses: Number of locations where the class is stocked at a given time
  • Objects: Number of stock objects corresponding to the class
  • PKU: Number of PKUs which correspond to the number of objects
  • Freq x Item: Number of stock counts to carry out in the campaign for the class
  • Closed lines: number of closed stock counts
  • Lines in progress: number of stock counts in progress
  • Rest: balance to carry out
  • %: percentage carried out
  • Available: A product is not in stock count progress and the gap between its last stock count and the current date is greater than the minimum gap between two stock counts, defined by its inventory class.
  • Selection: field for the number of products per class to be counted.

Totals
The 'Totals' block is used to give an overview of all the campaign data listed by class.

After entering a number of selections, the button is used to run either the simulation or the creation of the stock count.

The products are selected according to their oldest date of last stock count or, otherwise, according to the creation date of each product.

Error messages

In addition to the generic error messages, the following messages can appear during the entry :

Selection > number of available item of the class XX.

The number entered for the class is too high compared to the number of products for the class.

Products with work in progress.

The selected product contains input or output work in progress, whereas the stock count does not take work in progress into account.
