Upon creation or modification of an Expense and an Asset, some data can be determined according to the value other data. This system is called "Section associations", and it is used to simplify entry by automating the loading of certain sections.

The Associations – values function is used to specify the correspondence between the value of the decisive section and the value of each given section. These correspondences can be established for each association defined via the Associations – definition function.

Protection of the data integrity – Locking of the function

During the entry of these correspondences, any creation or update of the business object concerned is prohibited. Conversely, the entry of these correspondences is denied if one or more business objects are currently being processed (creation, update) or if the updates are in progress in the functions of context definition or association definition.

Screen management

 If the function is called from the Setup/Fixed assets menu, the left list displays the existing section associations defined by the Associations – definition function.

 If the function is called from the Associations – definition function, the left list displays the correspondences already defined for the section association concerned.

 This function can also be called from the management function of the Asset groups displayed from the general menu, or called when specifying the group in asset or expense entry. It is then mandatory that the decisive section be the Asset group.
Once defined, the associations by Group code are also displayed in this management function of the Asset groups; they are displayed in the form of a tree structure (by business object: expenses / assets, by account core model and by company.

For a section association, the following information is displayed in the header and cannot be modified: Company, Business object, Decisive.

The function, composed of a single screen, displays two grids that are used, for each value specified for the decisive section displayed in the header, to enter the values of the given sections.

 The first grid displays the list of given sections: expense sections or asset sections.

 The second, reserved for the assets object, displays the given sections related to the Depreciation plans, in the form of columns.

Fields

The following fields are present on this tab :

Block number 1

The Identification Code of the company for which the association is defined.
In creation mode, the company is loaded with the company specified in the Association definition function and is not modifiable when the screen is called from this function.
If not, the company code can be entered. If it is not specified, the default association will be defined for each company using the the same accounting template entered.

The accounting template is mandatory.
In creation:

  • When the screen is called from the Association definitions function: the account core model is loaded with the model specified in this function and cannot be modified.
  • Otherwise, the account core model associated with the specified company is automatically displayed ; it cannot be modified then. If the company is not specified, the account core model must be entered. In this case, the setup will be a default one, applied for all companies using this account core model.
  • Business object (field REFOBJ)

Job object involved in the association.
In creation mode, this field is filled in with the object specified in the Association definition function and is not modifiable when the screen is called from this function. Otherwise, the job object must be entered.

  • Decisive (field DETAAS)

It is the determinant field of the association:
- Accounting group or Accounting code if the object concerned by the association is Asset,
- Accounting group if the object is Expenditure.

In creation, this field is filled in with the determining section precised in the Association definition function and is not modifiable when the screen is called from this function. Otherwise, this section must be entered.

  • Value (field VALDETAAS)

This field enables the user to enter the value taken by the determining field which the user must enter the determined field values for.

  • Description (field INTIT0)

The title of the decisive section value.

Grid Values

  • Headings (field INTIT1)

It is the list of sections determined by the association and for which a value must be entered. This non-editable list is generated by the setup carried out through the Associations - Definition function.

  • Value (field VALDETEAS)

It is the value that the field will take during the application of the associations. The entry of this value is optional.
If no value is entered for a determined field, this field will be ignored during the association whatever the setup done for the Forced flag may be: the potential value that is already in the field will not be deleted.

  • Value title (field ZINTIT)

 

  • Coeff. (field VALCOE)

This field can only be entered when the Admission coefficient constitutes a specific heading. It is used to enter the value.

Grid Plan values

  • Plan (field DPRPLN)

The depreciation plans managed by the company or the potential plans if the field association is not defined for a specific company.

  • Method (field DPM)

The value of the depreciation mode when applying associations. If the Mode section has been defined as "managed" for the plan, then the information is mandatory.
The entered mode must have been defined as "applicable" to the plan.

  • Prorata (field PRATYP)

It is the value the pro rata type will take when applying the associations. This coefficient is linked with the UL (Straight line), UD (Declining balance) and RE (Residual) modes management and can only be entered for these depreciation methods.

  • Duration (field DPRDUR)

The value of the depreciation duration when applying associations.
If the Duration section has been defined as "managed" for the plan, and the mode is DF French declining, then this information is mandatory.
In the case where the mode entered is SA (without depreciation), this field cannot be entered, as the duration must be equal to 0.

  • Rate (field DPRRAT)

The value of the depreciation rate when applying associations.
If the Rate section has been defined as "managed" for the plan, then the information remains optional.
In the case where the method entered is SA (without depreciation) or UO (Work unit), this field cannot be entered, as the rate must be equal to 0.
In the DF French declining mode, this field cannot be entered, as the rate is automatically calculated based on the duration.

  • Exc. depr rate (field DPRRAT2)

This field can only be entered if the depreciation method for the plan is IT - Ordinario/Anticipato, that the field is defined as being managed by association and that the normal rate has been entered earlier. This exceptional depreciation rate must be less than or equal to the standard depreciation rate.

  • Specific rule (field ALWCOD)

The value of the specific rule when applying associations.
If the Specific rule section has been defined as managed for the plan, then this information remains optional. If not filled in, the default value, No specific rule, will be applied.
In the case where the mode entered is SA - without depreciation, this field cannot be entered.

It is the value the vehicle ceiling code will take at the application of the associations.
If the section has been defined as "managed" for the financial plan, then the information remains optional.

  • Acceleration coeff. (field ACLCOE)

It is the value the acceleration coefficient will take when applying the associations. This coefficient is linked with the UD modes management (Declining balance) and DB (Belgian digressive) and can only be entered for these depreciation methods. When this factor is applied to the DB (Belgian declining) mode, it must be included between 1 and 2 and contain up to 2 decimals (examples: value 2 corresponds to 200 %; the value 1.5 corresponds to 150 %).
