A document is a file stored in the document database (mongodb) that can be accessed by its owner and by members of the team that have a link.
Several sections are present on the page:
DESCRIPTION | INFORMATION | TAGS & TEAMS |
The access rights to a document are described in a dedicated section
This section includes the following information:
User-friendly description of the document.
If this check box is selected, the document cannot be modified and uploaded again (except by its owner).
This place allows a user (in edit mode) to download a document, or delete it if it has already been downloaded.
Allows a user to define the volume in which the document will be stored. Only a volume stored on mongodb can be selected. In detail mode, clicking the document icon will trigger a download of the document.
The user who owns the document. By default, the user creating the document record is suggested.
This section includes the following information:
Automatically defined, based on the document selected.
The date when the document was uploaded.
The name of the file on the repository.
This section includes the following information:
List of teams that can view the document (the selection window allows multiple selection).
List of tags associated with the document (the selection window allows multiple selection).
The rights to access to the documents and the corresponding entities are defined as follows:
Volumes describe how / where documents are stored. To read the volume description, you need to have "collaborationArea" rights in your security profile.
To change the description of a volume, to create or to delete a volume, you need to have the "technicalSettings" rights in your security profile.
The storage area is used as temporary buffer of generated reports (as pdf). Only the user having generated the document (identified as "owner" reference on the object) can read, write, or delete the document. Note that such a document is automatically deleted by the internal scheduler after some time (5 minutes).
Templates are used for Word reports generation and they are associated with an X3 class. The user will be able to read, write, or delete the templates if he has the corresponding rights on the associated X3 class.
Word reports are associated with an X3 class and a site. The user will be able to read, write, delete the reports if he has the corresponding rights on the associated X3 class and site.
A user can read, write, or delete any document not associated with a team, except if more restrictive rights should be applied (Word reports case).
