Use this function to record the consumption of a group of materials either on a work order or for a bill of materials (BOM) (without a work order).

Screen management

This function is customized to the needs of your organization and your processes. The transaction you select determines the way in which you enter information and what information is displayed and printed.

If only one transaction has been set up you are not offered a choice, the default entry screen is displayed. The Material tracking plan function contains a header information section into which you enter your selection (or filtering) criteria. The material tracking details will be built from the reference dates you provide.

Use this section to filter or select the materials to be issued:

  • Work order. This range is only available if the tracking type 'WO' is planned by the transaction.
  • Released product. Use this range to search on work orders.
  • BOM. Use this range to search on products instead of work orders.
  • Material. Use this range to search on work orders and products (BOMs).
Material issue grid

The columns displayed in the Material issue grid or table and the order in which they are displayed is determined by the selected entry transaction.

The entry transaction also determines the values for the consumed quantities and the quantities remaining to be issued.

The available columns depends on the type of tracking to be carried out:

  • Posting date. Today's date is the default date. You can enter an earlier date than today but not a later date. The stock issues are carried out on the entered date. The system will validate that the entry falls in a period for which stock updates are authorized.
  • The tracking type, the work order code, the BOM code.
  • Consumed quantity and closure flag.

Fields

The following fields are present on this tab :

Filters

The production site associated with the user is proposed by default. It can be modified by another site authorized for the operator, depending on its authorizations.

  • Requirement start date (field ENDDATSTR)

This field makes it possible to filter the data to be processed.
It is only taken into account when pre-loading a WO.
Mind the loading time.

  • Requirement end date (field ENDDATEND)

 

  • Filter (field FILTMAT)

Use this field to filter the records to be tracked. Select one of the following values:

  • All
  • Closed
  • Not closed

Start - end range

  • Work order (field WMFGNUMD)

Entering these fields is not mandatory. Use them to limit the display of allocations to one document or a range of documents.

Enter the selection end entry number.

  • Operation (field WOPENUMD)

Enter the selection start operation number.

  • field WOPENUMF

Enter the selection end operation number.

Enter the selection start product number. The product ranges limit the report to these products only.

Enter the ending product number for the selection. Product ranges are used to restrict the report to these products only.

Enter the BOM name for the selection start.

Enter the BOM name for the selection end.

Enter the selection start BOM code.

Enter the BOM code selection end.

Block number 2

  • Warehouse (field WRHE)

The presence of this box is subject to the activity code WRH.
Movement warehouse, suggested by default for all the document lines.
It must be entered if it is defined as mandatory at the level of the entry transaction.
It is loaded in priority with the warehouse defined for the user. If it fails to be set up at user lever, it is initialized with the warehouse defined, by default, at site level for this type of movement.

Grid

  • Date (field IPTDAT)

Date utilisée à la comptabilisation du mouvement. Elle est initialisée avec la date du jour et peut être changée pour une date antérieure, si la date sélectionnée se situe dans une période ouverte du calendrier comptable.

  • Tracking type (field MATTYP)

The consumption type can take the following values:

  • WO: Consumption deals with a material related to a WO,
  • Product: Consumption deals with a material related to a BOM.
 
    • Component type (field CPNTYP)

     

    • Order no. (field MFGNUM)

    This field displays the work order number (unique ID).
    This number is automatically or manually generated upon each creation.
    Click the Selectionicon to open the list of work orders (which only includes 'Firm' or 'Closed' work orders) and select a work order.


    This field contains the BOM (Bill of Materials) code for the product.


      Several BOMs can be defined for a single product reference.
      They can be distinguished via the code, entered on two numbers.

      The various BOM codes can be used to manage different product structures according to their use context such as:

      • MRP calculation,
      • sales order entry,
      • manufacturing/production.

      This field can be left empty (value = 0) to enable manual entry of the components. In this case, only the component is loaded.

      Material

      • Operation (field OPENUM)

      This field displays the sequence number of this operation.

      The operations in a routing used for manufacturing a product are assigned operation numbers. Each operation number corresponds to a task carried out on a given resource, with given times.

       

      • Consumed quantity (field USEQTY)

      This field indicates the consumed quantity.

      If material tracking follows an operation tracking or production reporting, the quantity to be tracked is automatically indicated and cannot be modified.

      This field is initialized for an initial tracking with the quantity planned in the work order.
      This is only accessible if the filter submits the non-closed operations.
      The modification of this quantity leads to a recalculation of the actual quantities proposed for the materials to be tracked.

      The lines in red characters indicate that:

      • the tracking quantities have a value equal to zero,
      • the stock could not be determined, no matter whether the tracking quantity is equal to zero or not.
      • Closed (field CLEFLG)

      Use this field to specify whether the line must be closed or not ('Yes'/'No').

       

      • Warehouse (field WRH)

      The presence of this field is subject to the WRH activity code.
      It defaults to the value of the warehouse specified in the header.

      • This field can be modified if it is defined as available for entry at the level of the entry transaction.
        When this field is entered, it is used as a filter for stock detail line selection and cannot be modified.
        When this field is not entered, the warehouse defined by default for this type of movement in the product-site record is used as the selection filter.
      • It cannot be modified when the entry transaction is set up as single-warehouse managed. The header warehouse is then mandatory and the warehouse cannot be entered either on the document lines or on the stock detail lines.
        To manage multiple warehouses on the lines, the entry must be set up at the entry transaction level. The selection of a single product line distributed over multiple warehouses is available by clicking Enter detailed quantities from the Actions icon.
        If a single product line is distributed over multiple warehouses, the corresponding fields display the '$' character.

      SEEINFOThe warehouse entered on the line has priority over the warehouse entered in the header.

      • Lot (field LOT)

      This field indicates the lot linked to the stock movement.

      • Sublot (field SLO)

      Sub-lot concerned by the stock transaction.

      • Preferential status (field STA)

      This field indicates the product status (A, Q, R).

      SEEINFO When the status changes from A to Q, the stock keeps the same location (no stock movement to be controlled).

      • Loc. (field LOC)

      The storage location is automatically loaded depending on the location type if it is specified, otherwise the default location defined in the product-site record will be used.
      This value can be modified later.

      • Starting serial number (field SERNUM)

      Enter the initial serial number, selection start range.

      • Ending serial number (field SERNUMF)

      Enter the end serial number of the selection.

      • Identifier 1 (field PALNUM)

       

      • Identifier 2 (field CTRNUM)

       

      • Movement description (field MVTDES)

      Enter a free description that will be registered in all the stock transactions associated with the delivery line.
      This description is also accessible from the stock issue detail window. If it has been modified by this function, it will be automatically recovered and registered on the shipment line in this field.

      • Actual work center (field CPLWST)

       

      • Shortage (field STFLG)

       

      • Stock withdrawal (field STOCODL)

       

      • Requirement date (field RETDAT)

       

      • Description (field ITMDES1)

       

      • BOM sequence (field BOMSEQ)

       

      • Major version (field ECCVALMAJ)

      This field indicates which version of this component (material) applies. Major versions might be used where there have been increased or significant changes to the original or previous version, that is the "form, fit or function" has changed.

      This field is not populated if the component code defined in the Component or Material field is not version managed.

      • Minor version (field ECCVALMIN)

      This field indicates which minor version of this component (material) applies. Minor versions might be used where there have been minor features or changes in functionality, or significant fixes applied to a specific major version.

      This field is not populated if the component code defined in the Component or Material field is not version managed.

      The setup determines if the analytical dimensions can be modified. They are initialized based on the setup of the default dimension.

      In creation mode, if no order line has been entered and the project code is modified, the analytical dimensions are reset based on the setup of default dimensions.

      In creation mode, as in modification mode, if an order line is entered and the project code is modified, the analytical dimensions are not reset.

      This button is used to view the consumption status of a material.

      This button is used to view the detail of the material in the WO.

      BOM

      This button is used to view the selected BOM.

      This button is used to view the allocations present on the product.

      This button makes it possible to consult the work order.

      Enter Detailed Quantities

      This button is used to perform a manual tracking.

      Specific actions

      Click the Searchaction to populate the Materials issue grid with the results of your entered selections.

      You can add and delete lines as required. The maximum number of lines that can be included in the grid is determined by the selected entry transaction.

      The following fields are included on the window opened through this button :

      Selection criteria

      • Active memo (field MEMO)

       

      Enter, select or build an Enterprise Management filter calculation expression using the formula editor.

       An error message is displayed if you refer to tables which are not generally used by the configurator, or to unknown variables.

      Start - end range

      • Work order (field WMFGNUMD)

      Entering these fields is not mandatory. Use them to limit the display of allocations to one document or a range of documents.

      • field WMFGNUMF

      Enter the selection end entry number.

      • Operation (field WOPENUMD)

      Enter the selection start operation number.

      • field WOPENUMF

      Enter the selection end operation number.

      Entering these fields is not mandatory. Use them to limit the display of allocations to one document or a range of documents.

      This field specifies the reference of the product to to process.

       

      Sort

      • Criteria 1 (field CRIT1)

      This field gives the main sort criteria for the table of records to be processed.

      • Criteria 2 (field CRIT2)

      This field gives the second sort criteria for the table of records to be processed.

      Click the Criteria action to further refine your entered selections. You can filter the operations to be processed by order and project, and modify the sort order. You can also save your selection criteria as a memo to reuse as required.

      Click the Validationaction to validate or confirm the details of each line in the grid. Each line for which validation is successful will create the corresponding work order tracking record. One Work order tracking record will be created per posting date.

      If material consumption or production reporting occurs at the same time, the tracking date of the operation is applied to the corresponding stock movement transaction. The system will check that the stock movement date falls in a period in which stock updates are authorized.

      The results of the tracking are written to the System log. The log file displays the number for each work order tracking record created.

       If clicking the Validation action returns data to the grid this indicates that there might be an issue with the data or the System log is locked. You should first try to revalidate the data by clicking the Validation action again.

      • If an empty grid is returned after you click the Validation action this confirms that the data has been correctly executed.
      • If data is returned to the grid after clicking the Validation action a second time this indicates that there is an issue with the data on those lines. You must correct the data before you can continue or retry the Validation action in case some records were locked by other transactions. Any lines that have been removed have been saved because the data has been correctly executed.

      Error messages

      In addition to the generic error messages, the following messages can appear during the entry :

      The end range is less than the start date

      Validation message on entry of selection by range.

      Date greater than the current date

      This message is displayed if the tracking date entered is greater than the current date.

      A material is out of stock and prevents the tracking of this WO (XXXXX)

      This message is displayed when creating the tracking for a work order where a material is out of stock and the Release if shortage setup is set to 'No' in the product-site record.

      It is only possible to track a WO with the status "FIRM"

      This message is displayed if the status of the work order is not set to 'Firm'.

      Incomplete allocation Tracking impossible

      This message is displayed if the work order is not at a minimum allocated globally and the MKTALLMGT general setup, Mandatory allocation to the WO, is set to 'Yes'.

      The WO is not printed: Tracking impossible

      This message is displayed if the production folder has not been printed and this is mandatory for production to start (according to the DOSFAB general setup).

      Incomplete Work Order: Tracking impossible

      This message is displayed if the work order is not complete (only materials or only operations) and the WO management plans to complete this order before releasing the production.

      Excluded line

      This message is displayed if an attempt is made to track an excluded material.

      XXXXXXXXXXXXXXXXX : Mandatory manual tracking

      This message is displayed if an attempt is made to automatically track a material with serial numbers or with an immediate stock issue method and a transaction that prohibits the automatic stock issue for this type of material (strict manual issue). XXXXXXXXXXXXXXXXXXX can take the following values:

      Material managed with serial no.

      Material with strict manual stock issuing method.

      Not enough stock for this material and negative stock prohibited:

      This message is displayed when controlling the consumed quantity of material compared to the available stock.

      Insertion impossible

      The entry transaction can limit the maximum number of lines in the grid. This message is displayed if an attempt is made to add a line when the grid is full.

      Material already present in the tracking for the same operation

      This message is displayed when adding an unplanned material if the product is already present in the materials to be tracked table.

      BOM does not exist!

      Error message in BOM control mode.

      Tracking unexpected material on a versioned product

      This warning is displayed if this product (BOM) or this work order is for a product that is version-managed and you have chosen to add a new component to it. Click Cancel to abandon your action. To add the new component, click OK. You will not be prevented from adding the component if you need to.
