A product is characterized by a unique identifier by depositor. The information in the product record is used by a large number of processes and it therefore advisable to take care when creating and maintaining it.

This function allows the user to maintain the product table and its containers. It allows the user to create, cancel, update and view the database information associated with a product.

There are 2 major types of products managed in Warehousing:

CU-managed products (CU for Consumption Unit)

Setup (Tab Controls): Flag "Stock Unit management" not checked (default value) and Stocking unit checked or not

A CU-managed product is characterized by the fact that its stock is CU-managed All the flows (input/output) are managed by packing from the pallet (level 1 to the CU (level 5).
The stock is viewed by number of CUs. An option makes it possible to define a stock unit (SU) and thus view the stock in stock unit.

Example: CU product without stock unit: the screwdriver
the CU is thus defined, as well as the box pack of 5 CUs, the box pallet, etc.
the stock is recorded in CUs

Example: CU product with stock unit "Litre": the milk bottle
 the CU is defined (the 1-litre milk bottle), the 6-bottle pack is defined, etc.
the stock is recorded in CUs but also in litres.

SU-managed product (SU for Stock Unit)

Setup (Tab Controls): Flag "Stock unit management" checked and Stocking unit entered

A SU-managed product is characterized by the fact that its stock is SU-managed andand decimalized. All the flows (input/output) are managed by packing from the pallet (level 1 to the SU (level 5).
The stock is viewed by number of SUs.

Example: SU product (SU = the meter): the cloth roll
the SU is defined, a well as the 100-meter cloth roll and the 6-roll pallet, etc.
the stock is recorded in SUs.

SEEWARNING The SU-managed products are associated with the following functional limitations:

  • At general level:
    • Entry format of the serial numbers
    • Cross-docking is not managed.
    • A SU product cannot be used as a compound or a kit component.
    • Dynamic picking is not managed (mapping module).
  • At input level:
    • There is no incomplete container equivalence, nor any container equivalence for new "unit" containers (level 5) 
  • At output level:
    • Not pivot picking management
    • Not multiple picking management
  • A stock level:
    • No assembly management

Screen management

 To create a product, various pieces of information need to be entered in the 3 tabs.

Some sections in the product record must exist in the matching tables. These tables can be completed during the entry of the product, in case some values were missing:

Product container: a product cannot be created without the smallest container level (level 5).

Fields

The following fields are present on this tab :

Product code defined in the GEODE product table.

  • field ITMDESAXX

 

  • Active (field ENAFLG)

Select this check box to activate the current record.

Disabled records keep their content and setup but cannot be used (by recalling their code) on other records (documents, settings ...), or for mass processes.

The authorizations to a given function can prohibit the creation of an active record. In this case, the check box is disabled by default. It can only be modified by an authorized user or through a signature Workflow.

Tab Identification

Presentation

The first tab is used to enter the identification data related to the product, such as the miscellaneous descriptions, the family, origin, input and output modes, blocking parameters, etc.

This code is used to keep a double item codification at GEODE level (former code, customs BOM, catalogue reference etc.). It is not mandatory to enter this information and it is not the subject of any specific process. Optional

Classification

The family enables products to be classified on the basis of a criterion chosen by the user. It features the entity that defines the packing rules at product level.

The Sub-family enables products to be classified on the basis of a criterion chosen by the user.

The Group enables products to be classified on the basis of a criterion chosen by the user.

The Sub-Grou enables products to be classified on the basis of a criterion chosen by the user.

L’The origin’ enables items to be classified on the basis of a criterion chosen by the user.

It is generally used to define or further determine the origin (geographical or other) of the products managed by the system.

Risk type code. This enables products to be classified on the basis of a criterion chosen by the user.

Method

This code represents the input mode. This input mode gathers all the management rules (linked to the product) implemented during an input addressing phase. This code is controlled in the input mode table.

Code of the output mode. The output mode determines the rules applied to the products when searching for output locations.

  • Auto transfer mode (field TRFMOD)

This indicates the automatic and mass transfer modes for the product.
The three available modes are "Normal" (default value), "Merging with accruals" and "Merging without accruals".

Stock count

Code associated with each product and representing the management rules relating to the inventory.

 

Block

  • Input (field INPLOK)

Specifies if the item is authorized for input. Controls are carried out if the flag is activated and the "Flow control" parameter is activated in the input configuration.

  • Output (field OUTLOK)

Specifies if the product is authorized for output. Controls are carried out if the flag is activated and the "Flow control" setup is activated in the output configuration.

Tab Checks

Presentation

CU and SU managed products

The type of the product at bay is entered in this tab:

  • CU management:
    • Flag "Stock Unit management" not checked (default value)
    • "Stock unit" (optional): entered if the SU stock needs to be known. In that case, the SU quantity represented by the CU needs to be defined (to be defined on the product container of level 5, the CU).
  • SU management:
    • Flag "Stock Unit management" checked
    • "Stock unit" (mandatory): entered. In that case, the product container of level 5 will represent the SU.

Comments on the duration management

1- Stock having a Best Before Date not expired is not considered in the automatic output processes.

2- Stock having an expired SbD (Sale by Date), UBD (Use By Date) or SBD (Send By Date) is not considered in the automatic output processes. It is considered as being blocked.

3- The values above can be expressed in number of days or number of months.

4- If the duration is not mentioned at product record level, but it is expressed in "months" or "days", by default, the entity is equal to the current date; if the FIFO date is equal to a date whose duration is not mentioned, then it becomes mandatory upon entry.

Fields

The following fields are present on this tab :

Stock unit

  • Stock unit management (field STUMGT)

If the box is checked, the item is managed with STK units.
If not (default value), the item is managed with CUs.

Specifies the stock unit of the item.

Characteristics

  • Control code (field CTLCODDAC)

This field is the third parameter in order to trigger the entry of the control code upon validation of the input and output movements. If entry of the control code is not triggered in the store and/or on the location and/or on the product, the code will not be requested.

  • Lot number (field LOTMGT)

Entering the lot number for the creation of an object is mandatory if the depositor stock configuration and the product setup has the "Lot number" parameter set to yes.

  • Single lot (field SNGLOTMGT)

This parameter is used to trigger the "single-lot" management on output whose principle is to give the ability to address a DO line from a single lot.

  • Serial number (field SRNMGT)

Used to set up the entry of the serial number in the input procedures. If the parameter is activated, it becomes mandatory to enter a list of serialnumbers for each product input. The addressing remains impossible as long as the serial numbers have not been entered.

  • Cross docking (field CDKMGT)

Used to manage Cross-Docking for the product.

Dimensions

  • Net weight (field NETWEI)

Net weight of the Consumption Unit.

  • field NETWEISYM

 

  • Net volume (field NETVOL)

Net volume of the Consumption Unit.

  • field NETVOLSYM

 

  • Pure alcohol volume (field ALCVOL)

Within the frame of a specific processing, this value could be used

for technical assistance calculation purposes.

  • Price (field PRI)

Enables the valuation of the inventory discrepancies.

 

FIFO date nature

  • field FIFDAT

This management is used to define the nature of the date that will be used within the framework of the FIFO management.

Length management

  • FIFO tolerance (field FIFDEV)

Used to define the sensitivity of a product to the FIFO date notion. It determines a maximum number of days and months within which two stock objects are equivalent in terms of FIFO date. This notion intervenes in the following processe: addressing on input (addressing to a mass, merging onto another pallet) and ouptut (unstocking priority).

  • field FIFDEVUOM

The value can be expressed in number of days or months.

  • Detention (field RTDTER)

Informs the system if a detention date must be associated with the stock object. The detention date is calculated by adding this value to the production date.

  • field RTDUOM

The value can be expressed in number of days or months.

  • SBD (field SLDTER)

Informs the system if a Sale by Date (SbD) must be associated with the stock object. The SbD is calculated by adding the lifetime to the production date.

  • field SLDUOM

The value can be expressed in number of days or months.

  • UBD (field USDTER)

Informs the system if a maximum Use By Date must be associated with the stock object. The UBD is calculated by adding this duration to the production date.

  • field USDUOM

The value can be expressed in number of days or months.

  • SbD (field SNDTER)

Informs the system if a Best Before Date must be associated with the stock object. The BBD is calculated by adding this duration to the production date.

The value can be expressed in number of days or months.

History

  • First arrival (field FIRINPDAT)

Dynamic Picking

Product end-of-life date.

This date is given for information purposes and it makes it possible to know when the product will no longer be sold or managed in stock.

Stock quantities

  • Minimum (field MINSTK)

This concept is used in the 'Transfer to inside store' function.

  • Maximum (field MAXSTK)

This concept is used in the 'Transfer to outside store' function.

  • Warning (field AST)

No standard processing is carried out in this field.This value could, for instance, enable the printing of a report displaying all the products with a stock lower than the stock alert threshold for further action by the Purchase-Procurement Service of a company.

Tab Quality Control

This tab is used to manage the quality control of the product.

Quality control

  • QC management (field QLYFLG)

Used to trigger the quality control for the product:

General

Stock nature of "quality control" type used upon creation of the input lines further to the receipt of a product with quality control: makes it possible to carry out the storage in a store dedicated to the quality control (store associated with the stock nature).

The quality sheet is used to record two types of information:

  • the text describing the control process or the operating mode.
  • a set of questions/answers in order to introduce a parameter entry during quality control.
    The supplied answers can be contolled by means of predefined values.
  • Single lot control (field SNGLOTCTL)

This parameter is used to trigger the quality control by lot: if it is set to yes, an Analysis Request will have to be created for each Input/Product/Lot triplet.

  • Sampling type (field SMPTYP)

Used to trigger the quality control with sampling: if the configuration is set to "simple", a sample to be controlled will be automatically calculated according to the parameters of the sampling plan. Otherwise, the quality control will concern the received quantity as a whole.

Sampling plan

  • General level of inspection (field GENLEVINS)

 

  • AQL (field NQA)

Acceptable Quality Level: used to calculate the number of non-complying parts based on which the controlled sample is considered to be discarded.

Tab Picking Locations

Presentation

This tab is used to display the picking locations assigned to the product.

The following fields are present on this tab :

Grid

Code used to identify the store. This code is controlled in the store table.

The reference container of a location represents the priority container dedicated to the location and in which the occupancy concepts are expressed. The location can accommodate other containers than the planned reference container, by means of the "container matchings".

 

  • Input block (field SLOINPLOK)

 

  • Output block (field SLOOUTLOK)

 

  • Picking priority (field PIOPIC)

This field is used to display, assign, and modify, a picking priority to a container + product pair. The assigned locations are sorted by priority (numerical field). The smallest number corresponds to the highest priority.

Tab Hazardous Materials

This tab is used to specify whether the product is a hazardous product and if it is, to mention its characteristics.

If checked, the product is considered to be a hazardous product.

  • Freezing point (field FRZPNT)

This field specifies the officiel code of the hazardous product with the Ministries.

  • field DGGTYPMAT

 

  • Referred qty (field REFQTY)

This field specifies the referred qty contained in the product's consumption unit.

This field mentions the sizing unit of the referred qty.

The ICPE class is used to identify the types of hazardous materials (toxic, combustive, explosive, flammable, radioactive, etc.).

  • Flash point (field LGTPNT)

This field characterizes the product flammability risk. In other words, the temperature that the product needs to reach before igniting.

Classifications

 

 

  • Tunnel restriction (field DGGREFTUN)

This tunnel restriction code provides information on the category of tunnels beyond which the transport of hazardous materials in a tunnel is subjected to restrictions (refer to the ADR).

  • Classification code (field CODE)

This field specifies the classification code of the hazardous product.

  • Packaging group (field GRP)

This field indicates the packing group of the hazardous product. There are 3 possible packing groups: I, II or III.

  • Locker (field RECOMM)

This field specifies the safety instructions that will be associated with the transport of a hazardous substance for the triplet (transport class, classification code, packing group).

  • field DSRDESAXX

 

  • Transp. coefficient (field TRPCOEFF)

This field specifies the danger coefficient (linked to the safety instruction) that will be taken into account to establish the DCMD (Dangerous Substance Transport Document).

  • Label 1 (field LABEL1)

This field mentions the number of the no. 1 label panel (related to the safety instruction) that may have to be affixed to the truck about to leave.

  • Label 2 (field LABEL2)

This field mentions the number of the no. 2 label panel (related to the safety instruction) that may have to be affixed to the truck about to leave.

  • Label 3 (field LABEL3)

 

Codifications

This field specifies the UNO code (United Nations Organization) that references hazardous materials concerning their land transport.

  • Solvent code (field SOLCOD)

This field mentions the product solvent code.

Grid Active matters

This field mentions the code of the active material forming part of a product classified as hazardous material.

  • 0/00 (field DAGPCT)

This field specifies the rate ("in per thousand") of active material present in the product referred quantity. This information is used in the reports on hazardous materials to calculate the weight of active material.

  • Editable (field DAGPRTLBL)

This field specifies if the description of the active material must be printed on the Dangerous Substance Transport Document.

Tab Containers

Presentation

  This tab displays the palletization program for the product, defined by clicking the Containers button. The only update to take place on this screen is the definition of the default container.

Cnt.The container type and code represents the packing type of a product and it mentions the defined levels. For each item, the breakdown of the palletization program(s) where the item can be described, must be known to the system.

A palletization program can be broken down into 5 levels of containers (linked to the Type) which are hierarchically nested (principle of the Russian nesting dolls).

Several palletization programs can be defined, among which one is defined as the default palletization program, each of the programs corresponding to a physical packing.

A unique level-5 container must absolutely be defined for each product. Furthermore, based on the product type (CU or SU managed product), the level 5 container will be the CU or the SU.

Any product container, except for the level 5 container, must be described based on the container that it directly contains (lower container). The lower container has a container level higher than the described container.

Dft. This flag is triggered via a double-click. A single default container can be triggered per product. It is used for the input processes (display of the container upon creation of an input line, etc.) and output processes (authorized incomplete container, etc.).

Level. The container level represents the space that a container of this type should occupy in the palletization program of an item.

No. and Inf cnt. Number of containers inferior to the product container.

CU nb. Information automatically calculated by the system based on the data entered for the previous setup. (only displayed in case of a CU managed product)

SU quantity. Information automatically calculated by the system based on the data entered previously. (displayed in case of SU managed product or of CU managed product with SU).

SU. it features the stock unitof the product (displayed in case of SU managed product or of CU managed product with SU).

Input. This specifies if inputs to stock of the container for this product are authorized.

Output. It specifies if ouputs from stock of the container for this product are authorized.

Chaining. Code created in the Store Sequence Table. It defines the priority input store for the product container considered. The priority input store intervenes in the input addressing algorithm.

The provides direct access to the creation/modification of a container.

This menu is used to access the stock inquiry screen for the product selected on the current depositor.

This function makes it possible to display the stock objects in a single manner.

Drill Down/Grouped stock objects

This menu is used to access the stock inquiry screen for the product selected on the current depositor.

This function makes it possible to display the stock objects in a grouped manner in order to make their reading easier.

Drill Down/Transactions

This menu provides access to the inquiry screen of the pending and/or validated movements for the product selected on the current depositor.

Zoom/Adjustments on inventory

It is possible to view the disputed receipt lines from a given product.

Error messages

In addition to the generic error messages, the following messages can appear during the entry :

Title field error, mandatory field.

The product title must be entered.

Input mode field error, mandatory field

The input mode must be entered.

X3 application error, product container does not exist.

A container must be created for this product.

Family field error, record does not exist.

An attempt has been made to enter a non-existent family.

Sub-family field error, record does not exist.

An attempt has been made to enter a non-existent sub-family.

Group field error, record does not exist.

An attempt has been made to enter a non-existent group.

It is not possible to change the stock count of a product if at least one stock count exists (status "in process", "closed", or "partially closed") for this product in the current campaign.
